Job Summary
The Polis Center is looking for a highly collaborative, detail-oriented individual to ensure smooth operations of a productive center. The Polis Center is an applied research center at IU Indianapolis in the Luddy School of Informatics, Computing, and Engineering. Polis makes data actionable for improving community health, equity, and resilience. We build and use information technology and geographically precise data across a variety of domains and sectors to identify and address our community’s most pressing challenges. We are a convener and connector, collaborating with community and academic partners to translate data and research into action. We build capacity in nonprofits, community-based organizations, government, and researchers to use these resources effectively for community good. Department-Specific Responsibilities
Works with center leadership to establish and implement operational policies of the center.
Collaborates with managers to ensure office administration policies, programs, and activities are appropriate for their needs.
Manages day-to-day operations of a variety of center processes to ensure the organization’s administrative and operational needs are met.
Trains staff on the center’s administrative and management protocols and procedures.
Standardizes project management practices across the center.
Leads operations meetings.
Manages data on project milestones and resource needs across the center.
Identifies staffing needs and coordinates staff allocation to ensure adequate staffing for projects across the center.
Researches, evaluates, and recommends purchases and utilization of resources to minimize costs, manage budgets, and meet the organization’s business needs.
Supports budget analysis for resource needs of the center.
Coordinates student employees and matches with project needs of the center.
Coordinates external resources to support project needs of the center.
Supports special initiatives of the executive director.
Manages project timelines and resource plans for special multi-project/multi-phase initiatives.
Supports center strategic and operational planning efforts.
Establishes operational goals and associated metrics for the center.
General Responsibilities
Manages medium to large projects, from start to finish, ensuring on time completion within budget.
Develops project plan(s) and efficiently analyzes, tracks, forecasts, and reports on project metrics and shortfalls.
Coordinates and facilitates efforts of project team(s) consisting of various staff and hourly employees.
Communicates ongoing changes in tasks, goals, or performance.
Collaborates to ensure that project objectives are achieved within established time frames.
Participates in client meetings, vendor/contract decisions, and development of project requirements and specifications.
May provide guidance and support to less experienced peers.
Qualifications Education
Bachelor’s degree in relevant field.
Work Experience
2 years of relevant experience.
Preferred
Experience in project management, process improvement, or organizational management.
Experience with information technology.
