The Senior Business Coordinator is responsible for coordinating and managing provider scheduling activities in support of the administrative and clinical functions of the Department of Pediatrics. This role ensures the accuracy and timeliness of schedules, serves as the primary point of contact for scheduling inquiries, and works collaboratively with faculty, staff, and clinical teams to optimize workflows. Responsibilities
Coordinates with faculty, staff, and clinical partners to manage and maintain provider schedules and time in Ogenda and related systems. Coordinate clinical and on-call schedules for providers across the Department and communicate with all stakeholders. Collaborates and communicates with clinic staff regarding schedules and changes. Monitor schedule changes and conflicts and proactively resolve issues to ensure smooth operations. Serve as the primary point of contact for scheduling inquiries from faculty, staff, and clinical teams. Communicate schedule updates and changes to providers and stakeholders in a timely manner. Collaborate with Departmental and clinical leadership to optimize workflow and staffing coverage. Generate reports from QGenda to track scheduling metrics, coverage gaps, and compliance with staffing policies. Assist in onboarding and training new users on QGenda scheduling procedures and best practices. Maintain accurate documentation of schedule changes, approvals, and requests. Support Departmental initiatives to improve scheduling efficiency and reduce conflicts. Assists with the additional pay process. Ability to work independently and manage administrative support processes effectively. Stays current with applicable policies, procedures, rules and regulations. Provides regular updates on project progress and assesses the feasibility of meeting deadlines. Responds to ad hoc requests. Performs related duties as required. Minimum Qualifications
