JOB SUMMARY Under administrative review, develops, implements, and administers one or more programs for an association, non-profit or similar organization. Provides analysis and financial accounting to ensure timely project completion and compliance with sponsor requirements. The Program Manager will oversee a team of clinical study coordinators engaged in multiple NIH-funded research studies examining the impact of substance use on individuals living with or at risk for HIV in North Carolina. These studies employ a comprehensive, multimodal data collection approach, including clinical interviews, neuropsychological assessments, biological sampling (blood and urine), medical record abstraction and (sometimes) include MRI imaging. The program manager will work closely with faculty researchers to track progress and implement protocols. The position is located at Wake Forest University School of Medicine in Winston-Salem, NC.

EDUCATION/EXPERIENCE Bachelor's degree with two years of relevant experience required.

Master's degree in Health Administration, Business Administration or related field preferred.

Two years' experience in project management, program management development, administration or supervisory experience required.

Knowledge of Microsoft Office, including Word, Excel, PowerPoint, and Outlook.

KEY RESPONSIBILITIES Project Oversight

Leads planning, execution, and evaluation of NIH-funded research projects; ensures timely achievement of study milestones.

Team Supervision

Directs study coordinators, other support staff, and students; oversees participant recruitment, enrollment, scheduling, and regulatory compliance.

Manages behavioral and physiological testing across lab and off‑site locations; administers tests and interacts directly with participants.

Reviews data entry and management; prepares datasets for analysis using multiple software platforms.

Maintains accurate participant records and monitors eligibility status, enrollment, and retention.

Operational Management

Develops and implements procedures to support efficient study operations and data integrity.

Data & Quality Assurance

Oversees data systems and quality control; supports data analysis and interpretation.

Reporting & Communication

Prepares data for inclusion in grant progress reports.

Must think ahead to identify risks and recommend improvements early on in the research execution process.

Must communicate well with faculty investigators within the department and across the institution, and ensure protocol adherence.

Financial Administration

Tracks budgets and expenditures to ensure availability of funds to support human subjects continuous participation in studies and to support costs for additional advertising to recruit more participants.

Outcome Accountability

Ensures program goals are met, including participant recruitment and retention.

Coordinates outreach, advertising, screening, and appointment scheduling; maintains professional communication with participants and investigators.

ESSENTIAL FUNCTIONS

Oversees the planning, implementation, coordination and evaluation of assigned projects. Assumes responsibility for coordinating the successful and timely completion of the tasks within projects.

Assists with the implementation of operational policies and procedures related to the functioning of the program.

Prepares periodic analyses and reports reflecting progress and trends of on‑going projects/programs. Identifies and anticipates potential issues and risks. Makes suggestions for improvement and implements as appropriate.

Tracks, evaluates, and interprets collected financial data. Manages the preparation of progress reports and quality control monitoring. Participates in the analysis of study data and the writing of sponsor progress and financial reports. Drafts financial, statistical, narrative, and/or other reports as requested. Makes recommendations based on these findings.

Assists in the administration of the departmental budget by tracking expenditures and performing other financial tasks. Verifies deduction authorizations to ensure correct input.

Assumes responsibility for the outcome of the program(s). Assists and supervises support personnel. Manages data for applicable databases to produce outcomes information for quality reporting and operational initiatives.

Provides guidance to others. Designs forms, newsletters, web pages and other tools as appropriate to ensure the success of assigned projects.

Serves as the program liaison, spokesperson and representative.

Arranges, implements, and facilitates team meetings to achieve results. Attends meetings with appropriate staff and faculty as necessary to provide and gather information. Promotes a cooperative work environment by utilizing communication skills, interpersonal relationships and team building.

Ensures that all aspects of the projects are conducted in accordance to the sponsor requirements, study contract and timelines.

Ensures compliance with institutional and sponsor regulations and guidelines.
