Position Title
Patient Service Representative - Heart, Lung, & Vascular Clinic
Department Heart, Lung and Vascular Clinic
General Description Coordinates schedules of patients in an outpatient clinic and provides clerical assistance toward the smooth operation of the facility.
Essential Responsibilities
Scheduling: Schedules patient appointments by phone or in person; provides information about clinic operations; obtains and updates patient demographics; answers telephone calls; prepares and enters schedules; coordinates schedules for patients requiring multiple services.
Check In/Check Out: Greets patients; accepts payments; totals encounter forms; codes procedures and diagnoses; ensures signatures on encounter forms; copies insurance cards; prepares encounter forms and billing packets; may prepare and type daily deposits; balances and closes cash box; prepares ancillary forms; prints and fax physician schedules.
Filing and Organization: Pulls chart for appointments or to file lab, X‑ray, hospital information; copies medical records; files patient charts; prepares inactive patient charts for storage; maintains log of charts; secures charts needed in clinic; replaces torn charts; makes up new patient charts; prepares new patient inserts; requests medical records from other facilities.
Referrals and Authorizations: Talks to patients about financial accounts; verifies insurance eligibility; secures referrals to other providers; collects and verifies proof of income for sliding scale discount.
Miscellaneous: Dispenses supplies; notifies when supplies low; types notes; makes immunization cards; logs mail receipts; sorts and distributes mail.
All Areas: Communicates professionally; promotes a team‑oriented approach; enhances professional growth; maintains patient confidentiality; performs related work as required.
General Responsibilities
Performs other duties as assigned.
Minimum Requirements
Education: High School Diploma or GED required.
Experience: 0‑3 years of professional work experience required. 2+ years in customer service preferred.
Licensure/Certifications/Registrations Required: None required.
Knowledge, Skills & Abilities
Good verbal and written communication skills.
Customer service skills.
Interpersonal skills – able to work effectively with employees, patients, and external parties.
Proficient with Microsoft Office tools.
