Position Overview Academic Program Coordinator – CAES Poultry Science, University of Georgia, Athens, GA. Full‑time, exempt, FTE 1.00.

Position Summary This position provides administrative support to the Director of Graduate Studies and Undergraduate Teaching Coordinator, collaborates with the Business Office, and offers student academic advising.

Responsibilities

Provide administrative support to the Director of Graduate Studies and Undergraduate Teaching Coordinator.

Manage student records, admissions, and program acceptance using UGA and Graduate School systems.

Prepare graduate assistantship offer letters and manage related fee/tuition charge entries with the Business Manager and Department Head.

Organize data for undergraduate and graduate program assessment.

Work with the Director of Graduate Studies to maintain and update the Graduate Student handbook.

Serve as a resource to graduate students on departmental and Graduate School procedures and policies.

Coordinate course schedules, ensuring all courses are entered into scheduling platforms and create research sections, special courses, thesis/dissertation research, and other needed courses.

Provide PODs and other clearances and clear academic holds for student registrations.

Enter new departmental courses and course changes into CAPA and update majors and degree programs in PARC.

Coordinate MOUs for undergraduate student internships.

Assist with department course evaluations.

Manage departmental scholarship applications, summarize for evaluation and notification, and post scholarships in the Scholarship Universe.

Manage applications and submissions of college and graduate school awards—including travel awards, fellowships, and scholarships; administer funded awards; coordinate planning and execution of undergraduate and graduate academic activities.

Meet with students to recommend courses for upcoming semesters, prepare advising forms, answer questions, and direct them to campus resources.

Minimum Qualifications Bachelor’s degree in a related field or equivalent.

Preferred Qualifications

Master’s degree.

Prior professional advising experience.

Prior course scheduling and academic programs support experience.

Knowledge of the University’s rules, regulations, policies, and procedures pertaining to student degree completion.

Effective problem‑solving and interpersonal communication skills.

Ability to establish and maintain effective working relationships.

Ability to interpret policies and procedures and communicate them effectively to students and faculty.

Knowledge, Skills, Abilities and Competencies

Well‑versed in student‑facing technologies (e.g., DegreeWorks).

Professionalism.

Ability to strategically communicate.
