Job Description The senior associate, event planning plays a critical role in the planning, coordination and execution of various events for Mariner and conferences Mariner associates attend on behalf of the firm. This position requires a high level of organizational skills, attention to detail and the ability to work effectively under pressure to ensure successful outcomes. The senior associate will work with the Event Manager on administrative and logistical support by collaborating closely with other team members, vendors and stakeholders to deliver memorable and impactful events that align with the organization's objectives and brand image.
Essential Duties and Responsibilities
Planning: Collaborate with the Event Manager to help internal stakeholders and leadership determine event and conference strategy, objectives and requirements. Develop comprehensive plans, including budgets, timelines and task assignments based on specific event strategy.
Venue Selection and Management: Research and identify suitable venues for events, considering factors such as capacity, location and budget. Work with various teams and venues to coordinate logistics to ensure smooth execution.
Vendor Coordination: Source and manage relationships with various event vendors, including catering, production and décor. Obtain quotes, implement contracts, sponsor fulfillment, and oversee vendor performance to ensure quality and cost-effectiveness.
Guest Management: Manage guest lists, invitations and RSVPs. Communicate event details to attendees and provide assistance before, during and after the event.
On-Site Event Assistance: Oversee all aspects of event setup, including signage, décor and technical requirements. Coordinate with Event Manager to ensure timely execution of event schedules and troubleshoot any issues that may arise.
Administrative Support: Maintain schedules and agenda, help manage and implement an event communication plan with attendees, sponsors, vendors and production team, as well as organising event paperwork including contracts.
Coordination: Coordinate events for Mariner business entities including internal and external events, conferences, seminars, virtual sessions, receptions, etc.
Post-Event Evaluation: Conduct post-event debriefs to evaluate the success of each event or conference and identify areas for improvement. Collect feedback from attendees and stakeholders to inform future planning efforts.
Event Efficiency: Ensure event and conference processes are efficient and recommend opportunities for improvement.
Required Education and Experience
Bachelor’s degree with major coursework in event management, marketing, communications or related area; or combination of education and commensurate work experience required.
Proven experience (5-7 years) in event planning and execution, preferably in a corporate environment.
Proficiency in Microsoft Office Suite and Smartsheet.
Experience with webinar platforms, event apps and event technology preferred.
Flexibility to work occasional evenings, weekends and travel as required for events.
Preferred Education and Experience
Certification in event planning or hospitality management desired.
Skills
Excellent communication and interpersonal skills, with the ability to build relationships with internal and external stakeholders.
Strong project management skills, with the ability to multitask and prioritize effectively in a fast-paced environment.
