Position Summary

The Client Care Coordinator will serve as a key liaison between clients, providers, and the Witherite Law Group (WLG) to ensure seamless care and communication throughout the litigation process. This role involves collaborating with WLG Client Care Coordinators, Attorney Litigation teams, and specialists to schedule client treatments and facilitate necessary medical care. The Client Care Coordinator will build trust with clients by empathizing with their needs, addressing concerns, and ensuring they receive timely and appropriate care. The Coordinator will be responsible for data management, including verifying, updating, and reporting client appointment details, and optimizing workflow to enhance client satisfaction. Effective communication with providers, clients, and internal teams is crucial for meeting healthcare and legal needs. The Coordinator will also attend case reviews and litigation meetings, assist in resolving scheduling conflicts, and ensure accurate documentation and reporting.

Key Responsibilities

Serve as a liaison between clients, providers, and the WLG team to coordinate care. Collaborate with internal teams to address client treatment needs during litigation. Build and maintain client trust through empathetic communication and care coordination. Manage client schedules, resolve calendar conflicts, and arrange travel as needed. Gather and report client information related to injuries and case progress. Update and maintain client appointment data in internal systems (FileVine, Power BI). Attend meetings to review and address client care requirements. Create and manage documentation to guide workflows and address challenges.

Qualifications

Entry-level healthcare experience (unit clerk, MA, or similar). Preferred experience in a physician’s office or clinic setting. High School Diploma preferred.

Physical Requirements

Office environment with normal business hours necessary to satisfactorily perform job functions. Stationary position – must be able to remain in a stationary position up to 50% of the time. Move or traverse – occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc. May ascend/descend stairs to other floors, cafeteria, and parking area. Dexterity – operates a computer and other office machinery such as a copy machine/printer. Move, transport, position, put, install, remove – occasionally moves supplies weighing up to 10 pounds for presentations and event needs. Communication – ability to exchange accurate information so others will understand in various situations. Observation – ability to observe details at close range and assess information.
