Responsibilities Job Summary
Facilitates efficient workflow and smooth daily operations for the Summit Pacific Medical Foundation (SPMF) by performing a broad range of administrative activities, support functions, and special projects. Ensures timely and effective service is provided to external (donors, community members, vendors, etc.) and internal (District staff) customers.
Performs a variety of routine and complex administrative tasks to ensure efficient, ongoing support of the SPMF. Answers phone calls and respond to in-person inquiries, triages issues and handles or routes for resolution as appropriate. Reviews and processes incoming mail. Effectively uses current office technology and tools to develop and maintain professional-quality documents, forms, and reports. Performs phoning, faxing and copying. Prepares professional materials, including professional correspondence, for various audiences. Uses correct grammar and punctuation.
Prioritizes and coordinates administrative support and related activities for the SPMF. Ensures timelines and objectives are met.
Maintains the Foundation’s donor database system through timely performance of set-up, data entry, and other maintenance tasks, including:
Processing and acknowledgement of donations and event payments
Tracking open pledges and issuing timely pledge reminders
Entering correspondence and meeting notes
Performing queries and exports for reports, mailings and donor recognition purposes
Auditing to ensure the integrity and security of the database to improve or enhance current usage and ensure accuracy of gift entry and recognition.
Consistently provides excellent customer service, maintains a professional work environment and exercises care and good judgment when handling sensitive and confidential information. Works effectively as part of a team to ensure successful outcomes.
Maintains complete and accurate records and files. Creates, maintains, and follows standard operating procedures/job aids for assigned activities. Maintains workspaces and materials in a manner suitable to a professional work environment.
Assists with preparations and staffing for events.
Performs special projects and other related duties as assigned.
Staff, organize and/or support Community Development Activities including Motivation School Talks, Elma Elementary Annual Fun Run, Elma High School Reality Fair, hosting Elma Chamber annually, CTE events with Elma High School, hosting community school field trips, annual Greater Grays Harbor Inc. Leadership Training
Staff, organize and/or support the East Grays Harbor County Youth Collaborative, schedule HOSA (Health Occupations Student Association) student group.
Staff, organize, and support the Foundation Board meetings and Board Committee meetings (Stewardship, Membership and Finance Committees).
Organizes and maintains the Foundation Day to day financial documentation, accounts payable working with various bank accounts to ensure proper timely deposits and use of Foundation donation
Acts as Scholarship Coordinator distributing applications to local schools, assembling applications for Scholarship Committee review and alerts successful applicants on how to collect scholarship funds through college admission offices.
Fills in as needed for Executive Assistant Leave of Absences.

Required Education and Experience
High school diploma or equivalent required. Associate’s degree preferred.
Three (3) years of clerical/administrative experience supporting leadership positions. Foundation/Non-Profit and/or hospital-related experience is preferred.

Working knowledge of administrative office procedures and equipment. Ability to master a wide variety of routine/ clerical and complex administrative tasks, as required to perform assigned duties.
Proficient in the use of current technology and software, including intermediate to advanced Microsoft Office skills (Word, Excel, and Outlook). Ability to quickly learn and develop mastery with new technology and software.
Professional and effective written and verbal communication skills. Ability to identify and employ communication strategies appropriate to the audience. Grammar and punctuation skills as needed to compose professional documents.
Ability to handle confidential information with discretion.
Knowledge of accounting and financial processes, reconciliations and reporting.
Ability to develop and maintain accurate documentation and records. Familiarity and experience with relational databases and report processing.
Strong problem-solving and organizational skills; flexibility and ability to prioritize work as needed to meet objectives.
