About Us Focal Physical Therapy We are a dynamic and growing multi-site, privately owned, outpatient physical therapy company committed to delivering high-quality 1-to-1 care to our patients. We are seeking an experienced and motivated Office Manager to oversee our front desk staff and ensure smooth operations across our Armonk location and other sites as needed.

Position Overview As the Office Manager, you will play a crucial role in managing our front desk team, overseeing daily office operations, and ensuring a seamless and customer service prioritized patient experience. Your experience in people management, insurance authorization, verification, and medical billing will be essential to this role. You will be responsible for maintaining an organized, efficient, and professional atmosphere across all our locations, with a primary focus on our Armonk site.

Key Responsibilities

Lead, supervise, and provide support to the front desk staff, fostering a positive and efficient work environment.

Ensure front desk staff are trained in office procedures, insurance verification, and customer service best practices. Provide ongoing support and development.

Oversee and manage insurance verification and authorization processes to ensure proper patient coverage for physical therapy services.

Collaborate with the billing department to ensure accurate coding, billing, and claim submissions for services rendered.

Act as a point of contact for patients, ensuring timely and professional communication, amazing customer service, answering questions, scheduling appointments, and addressing concerns.

Handle administrative tasks, including managing office supplies, maintaining patient records, and ensuring compliance with healthcare regulations.

Flexibility to travel to other clinic locations as needed to support staff, manage operations, and ensure consistency in office procedures.

Qualifications

2+ years experience, preferably in a healthcare setting. Physical Therapy practice experience a PLUS

Strong experience with people management, including hiring, training, and overseeing staff performance.

Expertise in insurance verification and authorization processes, with a strong understanding of medical billing and coding.

Excellent organizational and multitasking abilities.

Strong communication and interpersonal skills, with a customer-service-oriented mindset.

Ability to handle sensitive patient information with confidentiality and professionalism.

Ability to travel to other sites as needed.
