The Parts & Inventory Specialist will oversee the inventory management and parts procurement operation for SMC. This person will report directly to our Shop Manager and will work closely with the Shop, Road and Operations team. The company has a large mechanic shop for all fleet maintenance of 145 vehicles. This is a full-time position. Days and hours of work can fluctuate; work week runs Monday through Friday and hours are 40+ hours per week. Monday-Friday Must be able to work in the core Shop hours of 5:30-5:00pm KEY RESPONSIBILITIES Manage parts and inventory across all locations Enhance parts tracking system and create full inventory system (Binned, Counted, Tracked in Fleetio and Ensure everything is searchable by keyword & part #) Maintain accessories, supplies and replacement orders Place parts orders and fill all parts requests Monitor, approve and correct invoices for pricing, quantities etc. Maintain vendor accounts/relationships and establish new vendor relationships Schedule appointments with vendors Manage all warranty part returns to vendors Receive, stock and manage inventory stock levels and perform weekly inventory tie-out Attend all mandatory meetings, training, and certification programs Develop and perform a weekly cycle count system Work closely with Mechanics to create a parts request and fulfillment system Post all parts on work orders, parts ordered, used and noted by technicians in notes Ensure proper stocking levels and reorder points are maintained and calculated accurately Close and invoice all work orders Handle repair order charges, warranty validation and claims coverages including computation of charges, submission and follow up Account for time and material for all work orders/repairs Track repair/labor cost for repair for all three shops Update truck files for consistency across systems Maintain a clean and safe work environment QUALIFICATIONS Bachelor’s Degree preferred Valid Driver’s license with a clean driving record Excellent computer skills (Inventory Management Software, Excel, Teams, Microsoft Office Suite) Extensive experience in inventory tracking and procurement of parts Ability to multitask and manage competing priorities within a fast-paced environment Ability to work independently and as part of a team Excellent communication and interpersonal skills Must be able to lift or move 50 lbs. and complete repetitive lifting, bending, and stooping or kneeling.
