As a service advisor you will provide exceptional customer service, while ensuring that all vehicle maintenance and repairs meet the highest standards. Essential Duties & Responsibilities
Utilize cutting edge Fixed Operations Technology. Conduct oneself in a professional manner and demonstrate courteous behavior towards fellow employees and customers. Adhere to the process standards of Kayser Ford Of Sauk City. Complete all required training to maintain certifications; keep workspace clean and free from hazardous conditions; inform immediate supervisors of any safety or improper conduct observed. Refrain from overselling or using high-pressure sales; never sell unneeded repairs. Handle telephone inquiries regarding appointments and work in process. Provide exceptional and timely communication, keeping customers updated throughout the repair process. Schedule service appointments; obtain customer and vehicle data prior to arrival when possible. Take time with customers to understand their concerns, display empathy and understanding, and act in a polite manner. Generate repair orders with all fields filled out, including customer signature; include emails on all repair orders; document all work sold and obtain Service Manager authorization for additional work and other labor hours; review technicians’ notes to verify the 3 C’s (Concern, Cause, Correction); complete and file repair orders when the job is finished. Establish customer's method of payment; obtain credit approval if necessary; ensure Multi-Point Vehicle Inspection (MPVI) is completed on every vehicle. Review diagnosis and recommendations with the Technician to fully understand; provide a complete and accurate written cost estimate for labor and parts; address the customer’s original concern first at all times. Check progress of repairs throughout the day; inform the customer when more time or additional repairs are needed; call when repairs are completed, review the repair order with the customer, and provide store hours for pickup. Assist the customer in picking up their vehicle by reviewing the completed repair order so they understand how their money was spent; process payments (cash, check or credit card); request a completely satisfied survey from warranty customers. Ensure that vehicles are parked in assigned areas, are locked, and keys are marked and stored correctly. Keep service department forms, menus and pricing guides up-to-date. To perform this job successfully, the individual must be able to perform each essential duty satisfactorily. Dealership experience preferred with a successful track record of Customer Service Index (CSI). Must have a strong customer service or sales background. Must have a strong work ethic, be self-motivated, friendly and organized. Proficiency with computers including Microsoft Word and Excel.
