Donor Relations Assistant (HR title: Advancement Specialist)

About the Position
Donor Relations Assistant coordinates key stewardship activities for SMU’s Development and External Affairs (DEA) team. The role is an on‑campus, in‑person position that supports donor stewardship projects, metrics and data management in SMU’s Customer Relationship Management (CRM) system.
Essential Functions Stewardship Activities:
Review and prepare endowment and planned gift reports.
Procure supplies and manage mail merges and mailings.
Proof and edit executive‑level donor communications and endowment certificates.
Implement President’s gifts, cards and Giving Day gifts.
Track, measure and report stewardship metrics.
Maintain stewardship plans and documentation.
Submit monthly stewardship for Rotunda families.
Other Responsibilities:
Collaborate on special projects and develop relationships across internal units.
Maintain donor relations presence on SharePoint and manage email/phone communications.
Track donor relations budget and calendar.
Provide administrative support to team members.
Occasional evening and weekend work for events.
Qualifications High school diploma or equivalent required; Bachelor’s preferred.
Minimum of three years of administrative support experience in development, alumni relations, or higher education preferred.
Strong interpersonal, verbal, and written communication skills.
Excellent organizational, time‑management, and multitasking skills.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe Suite preferred; mail merge experience preferred.
Experience with CRM databases, especially Blackbaud, and ability to run queries preferred.
Physical and Environmental Demands Sit for long periods, bend, stand, kneel, walk for distances, reach above shoulders, handle objects, push/pull, and lift 25‑50 lbs.
