Voter Registration Coordinator

Under direct supervision of the Director of Elections, performs detail-oriented work with Mail‑In, Agency Based and In‑Person registered voters associated with maintaining the County voter registration database on the Statewide Elections Information Management System (SEIMS). Assists in the preparation of yearly elections in Alamance County.
Responsibilities
Manages all voter registration records including registering individuals to vote; addressing name and party affiliation changes; removing names of individuals from registration records under statutory guidelines (e.g., ACO and DOC felony lists, duplicate lists, cancellation lists, deceased lists), and processing weekly and monthly death certificates provided by the State Board of Elections and the Register of Deeds.
Reviews mail‑in and agency‑based registrations for completeness and accuracy; checks and assigns precinct and municipal codes; sends voters requests for additional information or corrections.
Enters and reviews data for accuracy in SEIMS; mails voter verification and confirmation cards to voters on a weekly basis; performs statistical evaluations on cards mailed and returned.
Prepares and facilitates the mailing and return of bi‑annually National Change of Address (NCOA) cards in coordination with the USPS and the State Board of Elections.
Performs list‑maintenance duties following each General Election; attends and participates in instructional training for precinct personnel; teaches training classes and provides assistance in completing necessary forms.
Assists with site management during Early Voting; researches provisional ballot applications for board approval; publicly presents research to the board during the Election Canvass Meeting following each election.
Serves as the contact and facilitator for petitions; researches signatures, prepares required documentation to send to the petitioner and the State Board of Elections.
Assists in organizing voter outreach and education events.
Answers telephone and provides information and assistance to the general public regarding election matters; performs related work as required.
Works approximately 80 hours per week during the election season (including Saturdays and Sundays) for eight to ten weeks prior to each election; otherwise a Monday‑Friday schedule (8:00 am‑5:00 pm). Position requires some heavy lifting up to 50 lbs.
Qualifications
Associate degree with at least two years of office assistant/clerical experience, or an equivalent combination of training and experience.
Must possess a valid North Carolina driver’s license.
Applicant must have or obtain within six months a North Carolina Notary Commission.
Must obtain Election Administration Certification from the NC State Board of Elections within four years.
Able to travel and attend state‑mandated training seminars and conferences to enhance and maintain knowledge of trends and development in election administration.
Skills & Competencies
Exceptional organizational skills and attention to detail; considerable skill in collecting and analyzing data and information.
Very strong ability to exercise judgment and discretion in establishing, applying, and interpreting policies and procedures.
General knowledge of the election laws of North Carolina and of procedures and regulations established by the State Board of Elections.
Extensive experience with Windows 11, Microsoft Word and Excel; knowledge of general office procedures and equipment.
Knowledge of basic office accounting, record‑keeping and business practices.
Ability to type accurately; excellent communication and customer service skills.
Ability to communicate effectively in person and by telephone; ability to follow oral and written instructions and procedures.
Working knowledge of county locations, townships, and voting precincts.
Ability to place records, reports, and files into a proper sequence based on established format.
