Executive Assistant

We are looking for a highly organized and proactive Executive Assistant to join our team on a contract basis in Austin, Texas. This role involves providing comprehensive administrative support to ensure the efficient operation of daily activities. The ideal candidate will excel at multitasking, managing priorities, and maintaining confidentiality while handling diverse responsibilities.

Responsibilities include:

  • Coordinate and manage calendars, ensuring all deadlines and appointments are met with timely reminders.
  • Arrange travel plans, including booking flights, accommodations, and transportation as needed.
  • Prepare and proofread documents, presentations, and reports to ensure accuracy and professionalism.
  • Organize and maintain records, tracking deadlines and reminders to support efficient operations.
  • Assist with financial tasks such as processing invoices, managing payroll, and handling expense reports.
  • Plan and coordinate meetings or conferences, including scheduling, preparing materials, and arranging catering or video conferencing.
  • Stock office supplies and maintain kitchen inventory.
  • Manage personal appointments and tasks, including medical visits and other administrative needs.
  • Collaborate with team members to support office organization and improve overall efficiency.

Requirements:

  • Proven experience in an executive assistant or administrative support role.
  • Strong skills in calendar management and travel coordination.
  • Proficiency in drafting and editing documents with attention to detail.
  • Ability to handle financial tasks, including invoices and expense reports, accurately.
  • Excellent organizational and time management skills to prioritize multiple tasks effectively.
  • Familiarity with office software and tools for scheduling, correspondence, and record-keeping.
  • Detail-oriented approach with strong interpersonal and communication skills.
  • Ability to maintain confidentiality and demonstrate reliability in all aspects of the role.
