Dental Office Assistant – Business Assistant

The role focuses on patient outreach, front‑office administration, and insurance coordination in a learning‑oriented environment that values patients first and teamwork.
Responsibilities
- Greet and welcome patients as they enter the office, creating a great first impression.
- Manage front‑office duties: answer phones, check office mail and email, and communicate with patients and insurance companies.
- Utilize Dentrix for patient scheduling and records.
- Schedule and confirm appointments for multiple providers.
- File patient insurance claims and follow up on outstanding claims, verify benefits, and explain coverage.
- Post insurance and patient payments and process accounts receivable.
- Review treatment plan fees and payment options with patients.
- Partner with providers and the team to implement Heartland Dental systems to optimize office performance.

Minimum Qualifications
- Experience working in a fast‑paced, customer‑centric environment.
- Excellent communication and organizational skills.
- Regular HIPAA training with the responsibility to protect PHI and maintain data safeguards.
Preferred Experience
- 1+ years in a dental or medical setting.
- 1+ years with insurance billing and accounts receivable.
- Experience with Dentrix or other dental software.
Physical Requirements
- Ability to perform essential duties with or without reasonable accommodation.
- Prolonged periods sitting at a desk and working on a computer.
- Lifting up to 15 pounds at times.
- Availability to attend virtual or in‑person training sessions periodically.
- All dental office hires must complete a tuberculosis (TB) test prior to starting employment. Not applicable in FL & TN.
