Dental Office Assistant – Business Assistant

Heartland Dental, recognized as America’s Greatest Workplace and 2024’s Greatest Workplace for Diversity, is seeking a dedicated Business Assistant to support the front office of its Clearwater dental office. The role focuses on patient outreach, front‑office administration, and insurance coordination in a learning‑oriented environment that values patients first and teamwork.

Responsibilities

  • Greet and welcome patients as they enter the office, creating a great first impression.
  • Manage front‑office duties: answer phones, check office mail and email, and communicate with patients and insurance companies.
  • Utilize Dentrix for patient scheduling and records.
  • Schedule and confirm appointments for multiple providers.
  • File patient insurance claims and follow up on outstanding claims, verify benefits, and explain coverage.
  • Post insurance and patient payments and process accounts receivable.
  • Review treatment plan fees and payment options with patients.
  • Partner with providers and the team to implement Heartland Dental systems to optimize office performance.

Minimum Qualifications

  • Experience working in a fast‑paced, customer‑centric environment.
  • Excellent communication and organizational skills.
  • Regular HIPAA training with the responsibility to protect PHI and maintain data safeguards.

Preferred Experience

  • 1+ years in a dental or medical setting.
  • 1+ years with insurance billing and accounts receivable.
  • Experience with Dentrix or other dental software.

Physical Requirements

  • Ability to perform essential duties with or without reasonable accommodation.
  • Prolonged periods sitting at a desk and working on a computer.
  • Lifting up to 15 pounds at times.
  • Availability to attend virtual or in‑person training sessions periodically.
  • All dental office hires must complete a tuberculosis (TB) test prior to starting employment. Not applicable in FL & TN.
