Job Summary And Qualifications Medical Staff Administration

Develop facility credentialing policies in accordance with accreditation/regulatory standards, HCA Healthcare policies, and medical staff bylaws.

Facilitate meetings (develop agendas, maintain meeting minutes, coordinate follow‑up) for committees including the Medical Executive Committee, Credentials Committee, Leadership Council, and other medical staff committees.

Coordinate the work of the Leadership Council in matters related to practitioner health and professional conduct.

Coordinate other facility committees as assigned.

Maintain the official emergency call schedule and records for call compensation payments.

Manage correspondence between facility and individual medical staff members.

Provide support functions to medical staff officers.

Prepare credentialing reports for medical staff leaders, committees, and the governing body.

Develop, maintain, and distribute medical staff governance documents (bylaws, rules & regulations, policies) and implement the annual review process.

Serve as the primary liaison between the facility, Division Medical Staff Services, and the CPC.

Ensure all facility non‑privileged practitioner processes comply with Ethics & Compliance Policy and trigger system access updates via the eSAF tool.

Ensure tokens of appreciation and gifts to medical staff are reported to the ECO and logged on the Business Courtesy Log in accordance with Ethics & Compliance Policies.

Coordinate the collection and handling of medical staff dues and other fees as per policy.

Update Meditech Practitioner Dictionary/Database to be consistent with practitioner data in Cactus.

Participate in planning for future medical staff recruitment.

Develop annual business plan and supervise the annual budget if assigned.

Edit and write medical staff newsletters or maintain the medical staff section of the facility website.

Maintain and distribute the master medical staff calendar of activities.

Manage the medical staff hotline.

Medical Staff Education

Facilitate orientation for new medical staff members in partnership with key stakeholders.

Facilitate orientation for new officers, committee members and governing body.

Provide education to administrators and department directors regarding CPC operations, privileging, and non‑privileged practitioner credentialing.

Facilitate all continuing medical education (CME) programs offered through the facility.

Accreditation and Regulatory Compliance

Serve as the facility’s subject matter expert on accreditation and regulatory requirements related to the medical staff.

Notify the CPC of upcoming or ongoing surveys related to credentialing, privileging and PPE/peer review activities.

Coordinate accreditation, regulatory, and internal surveys related to credentialing, privileging and PPE/peer review.

Respond to reviews and corrective action plans for accreditation and regulatory compliance deficiencies.

Facility‑Based Credentialing Tasks

Apply credentials evaluation process uniformly to all applications and re‑applications to ensure compliance with internal procedures.

Process each application or re‑application received from the CPC per policy.

Verify applicant identity per guidelines.

Forward updated information to the Division MSS/CPC promptly.

Compile and analyze data for assessment of qualifications and competencies for each re‑application.

Facilitate review, assessment, and authenticated documentation of each application and request for clinical privileges.

Summarize and prepare credentialing information, including flagged concerns, for board review.

Actively manage expiring credentials in accordance with policy.

Update system databases to reflect all board actions regarding applications.

Manage and archive files according to procedures.

Privileging

Facilitate development of eligibility criteria for each clinical privilege.

Facilitate the review of privilege requests using the approved criteria.

Assess applicability and appropriateness of clinical privileges for each specialty through periodic review.

Maintain privilege content in the Visual Cactus system and MEDITECH Practitioner Dictionary.

Update eSAF tool for system access changes based on privilege status.

Coordinate access to credentialing information via iPrivileges or iPharmacy portal.

Facilitate regulatory agency reporting of adverse actions taken against a practitioner’s membership or privileges.

Performance Improvement/Peer Review/Patient Safety

Coordinate with the quality department to facilitate focused professional practice evaluation (FPPE) and related reporting.

Coordinate ongoing professional practice evaluation (OPPE) with the quality department.

Coordinate internal and external peer reviews with facility leadership.

Complete summary of FPPE, OPPE, and peer review results for medical staff leaders.

Identify critical performance benchmarks, measure performance, and take action to improve as needed.

Coordinate with the Patient Safety Officer on occurrence reports, patient complaints, close‑call data, and SPAE reports.

Coordinate with the Patient Safety Officer regarding medical staff participation in HCA Healthcare Patient Safety Organization activities.

Risk Management

Coordinate with the risk manager to review applicant claims history and other reports.

Notify the risk manager of possible malpractice or liability concerns.

Coordinate all medical staff disciplinary actions and due process in accordance with fair hearing and appeals policy.

Submit Reportable Issue reports for practitioner credential deficiencies per Ethics & Compliance policy.

National Practitioner Data Bank (NPDB)

Manage and maintain the NPDB account as the Data Bank Administrator.

Submit required NPDB reports to Federal law under coordination with Operations Counsel and facility leaders.

Respond to NPDB requests for information.

Coordinate completion of NPDB’s Attestation at renewal of facility registration.

Subscribe to the NPDB Insights e‑newsletter and communicate changes to appropriate executives.

Information Management

Develop and maintain a policy for managing, accessing, and distributing credentialing, privileging, and peer review information.

Archive locally maintained records in accordance with retention policies.

Respond to external requests for information per policy.

HCA Healthcare System Coordination and Collaboration

Attend initial orientation from the CPC and HCA Healthcare’s Office of Professional Practice Advancement.

Maintain awareness and accurate interpretation of HCA Healthcare credentialing policies and procedures.

Read and adopt model medical staff governance documents, PPE Manuals, and other policies.

Support facility adoption of template MSSD policies.

Read and act on CPC announcements and alerts related to credentials and system updates.

Participate in monthly “Village” calls and scheduled Division meetings for MSPs.

Ensure facility operations conform to local, state, and federal regulations and HCA Healthcare policy.

Education

High School diploma or equivalent required.

Associate Degree or higher preferred.

Experience

At least one (1) year of previous credentialing experience preferred.

HCA Healthcare credentialing and Cactus experience preferred.

Certification

Certified Provider Credentialing Specialist (CPCS) preferred.
