People Operations Administrator
is responsible for managing various administrative and operational functions to support the People Operations team. This position manages essential day‑to‑day tasks such as onboarding and offboarding logistics, employee engagement activities, recordkeeping, event support, overseeing product requests for new hires, and assisting in coordinating employee welfare events. The role is crucial to fostering an efficient, supportive, and engaging work environment, helping the company maintain high standards of employee experience and operational effectiveness.
The dynamic nature of this role requires a willingness to roll up sleeves and do whatever needs to be done. The role must interact seamlessly and with a professional demeanor across a broad range of individuals. As a member of the team supporting our most sensitive operational areas, this role requires high levels of professionalism and discretion.
Administrative & Operational Support
Manage documentation, scheduling, and logistics for People Operations programs and processes.
Prepare and maintain employee files, process documentation, and compliance reporting.
Assist with onboarding and offboarding tasks, ensuring a positive experience for new hires and smooth transitions for departing employees.
Provide recruiting support, including posting jobs, scheduling interviews, coordinating with candidates and hiring managers, and maintaining applicant tracking records.
Events & Engagement
Coordinate logistics for employee engagement activities, including staff meetings and welfare events.
Support planning and execution (setup, catering, recording, etc.) of company events (holiday parties, flu‑clinic, in‑office gatherings, etc.).
Assist with the annual corporate holiday gift program and employee recognition initiatives.
Assist in the planning and implementation of employee wellness initiatives and programs.
Employee Experience Support
Partner with the People Operations team to support welfare activities monthly. Stay within budget but maintain the activities calendar and focus on employee engagement and development.
Ensure timely communication and follow‑through on employee requests or questions.
Act as a reliable point of contact for administrative aspects of People Operations.
Other Duties
Monitor shared mailboxes – organize and delegate when necessary.
Provide occasional support to Facilities and Administration when needed.
Maintain confidentiality, discretion, and professionalism in all responsibilities.
Continuously seek opportunities to improve processes and enhance efficiency.
Support the Fun Committee in planning and executing events on an ad hoc basis.
Assist with other duties and projects as needed.
Protect company assets through the proper management of asset files and adherence to company policy with regard to information security and management.
The ideal candidate will bring
2–3 years of experience working in an Administrative capacity;
Knowledge of standard office administrative practices and procedures;
Excellent interpersonal and communication skills, with the ability to engage effectively with internal stakeholders;
Strong organizational and time management skills to handle multiple priorities, effective planning, and working under pressure to meet deadlines;
Strong technical skills with intermediate to advanced knowledge in Microsoft Word, Excel, Outlook and PowerPoint;
Strong attention to detail and accuracy; Follows‑up and follows through;
Demonstrated problem‑solving skills with a proactive approach to identifying and addressing issues;
Confident and decisive in stressful situations and tight time frames;
Utilizes good judgment and demonstrates maturity, tact and diplomacy; Demonstrates a high level of professionalism in the conduct of their work and interaction with others in the workplace;
Maintains confidences and utilizes the utmost in discretion;
Exhibits a high degree of flexibility and adaptability; Demonstrates a strong desire to help others and work together as a team; Resourceful, can‑do approach;
Education requirements
Bachelor’s degree in Human Resources, Business, Communications, English, or a related field is preferred.
