Job Description The UF Health - Precision Health Research Center (PHRC) located in The Villages, FL, hosted within the Clinical and Translational Science Institute (CTSI) seeks an enthusiastic and qualified individual to fill the Administrative Specialist III position. This role works closely with the center’s Director and leadership to coordinate a variety of administrative, financial, and human resource duties.

More About This Role Program(s) Administrative Duties

Administers matters involving the Director’s overall activities, keeping the research managers up to date and aware of tasks, deadlines, issues and problems.

Manages the Director’s calendar and prepares official correspondence such as emails and telephone calls on the Center’s behalf.

Coordinates administrative support for the center’s staff and community members, proactively communicating project details.

Compiles data used for decision‑making and discussion at Director, staff, and select external meetings on administrative matters.

Coordinates the Center’s meetings, including preparation of meeting materials, maintenance of minutes, and upkeep of the center members’ database.

Has oversight for scheduling at the center.

Directly involves in planning, implementing, and coordinating the center’s programs.

Responsible for confidential information relating to the Director’s office, including research and fiscal records.

Coordinates with the Director of Operations for the preparation of the annual budget, forecasting budget requirements using UF’s Enterprise Reporting, Enterprise Analytics, and other tools.

Works closely with the research managers to compile and disseminate research project reports by pulling data from RedCap or other research tools.

Works with the Director and CTSI Communications to oversee the center’s website presence using WordPress, including editing and maintaining content.

Works with the center’s Director and leadership team to identify, organize, and initiate community engagement events.

Human Resources - Payroll

Monitors and approves timesheets and leave for center personnel, ensuring payroll is approved by deadlines.

Works with the Center’s financial lead to ensure effort reporting is accurate.

Manages and implements a broad range of human resources programs for the center, including recruitment, staffing, classification, compensation, benefits administration, and training.

Assists in formulating, interpreting, and implementing Center policies and practices for assigned areas.

Conducts recruiting activities to develop and implement recruitment strategies for all open positions, including attendance at virtual and in‑person job fairs.

Collaborates with campus HR on position description creation, review, and revision, including new positions and reclassifications.

Attends training workshops and CTSI HR meetings as required.

Serves as liaison for the Center with CTSI HR.

Financials

Maintains records of the Center’s grants and contracts budgets, including preparation of status reports on grant‑funded projects.

Prepares travel authorizations for Center staff and assists with travel arrangements, filing expense records to ensure timely payment.

Processes and controls the Center’s purchasing and payouts, reconciling the Director’s P‑Card purchases using UFGo.

Assists the Director and financial manager with the preparation of the annual budget, forecasting requirements using UF’s Enterprise Reporting, Enterprise Analytics, My Investigator, and other tools.

Who We Are The University of Florida’s Clinical and Translational Science Institute (CTSI) was established in 2008 to accelerate the translation of scientific discoveries into improved health outcomes. As a university‑wide research infrastructure, the CTSI enhances UF’s capacity to conduct impactful clinical and translational research by offering resources, training, and support to investigators across disciplines.

Expected Salary $65,000 – $75,000

Minimum Requirements Bachelor’s degree and five years of relevant experience, or an equivalent combination of education and experience.

Preferred Qualifications

Knowledge of data collection methods and report preparation.

Experience using WordPress to create and edit website content.

Knowledge of basic bookkeeping and University accounting procedures.

Familiarity with UF systems such as myUFL, PageUp, UFGO, RedCap, UFirst, Enterprise Analytics, Qualtrics, MyIRB.

Effective written and oral communication skills.

Independent problem‑solving skills and attention to detail.
