Job Overview
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our medspa. This energetic role involves managing front desk operations, providing exceptional customer service, and ensuring smooth office management. The ideal candidate will be highly organized, tech-savvy, bilingual (if applicable), and possess a passion for creating a positive first impression. You will handle a variety of administrative tasks, coordinate communication, and support daily office functions with enthusiasm and professionalism.
Duties
Greet visitors, clients, and staff warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems efficiently, directing calls accurately and courteously while maintaining excellent phone etiquette.
Handle incoming correspondence, emails, and inquiries with clarity and professionalism.
Schedule appointments, manage calendars, and coordinate meetings or events for staff or clients.
Support office management activities such as ordering supplies, maintaining inventory, and overseeing general cleanliness.
Assist with clerical duties like proofreading documents, preparing reports, and managing mail distribution.
Provide customer support by addressing questions or concerns efficiently while maintaining a positive attitude.
Conduct basic bookkeeping tasks including invoicing and tracking payments when necessary.
Support additional administrative functions such as proofreading documents, managing time-sensitive tasks, and supporting personal assistant duties if needed.
Experience
Proven office experience with a strong background in administrative support or clerical roles.
Prior experience as a receptionist in medical is highly desirable.
We are also willing to hire a college student/grad that is looking for work.
Familiarity with front desk operations in professional environments is essential.
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
Experience using multi-line phone systems and handling high-volume call environments effectively.
Knowledge of QuickBooks or similar bookkeeping software is a plus.
Bilingual abilities are highly valued to assist diverse client populations.
Strong organizational skills with the ability to multitask efficiently under pressure.
Excellent communication skills with a focus on phone etiquette and customer service excellence.
Demonstrated ability to manage time effectively and prioritize tasks independently.
