Office Manager

Cypress, Texas 77429 !

SUMMARY The Office Manager oversees the daily operations of the optometry practice, ensuring efficient workflow, excellent patient service, and a positive, organized work environment. This role is responsible for managing administrative staff, coordinating scheduling and billing, ensuring compliance with healthcare regulations, and supporting the optometrist in delivering high-quality patient experience.

SCHEDULE

Monday, Wednesday, Friday: 9 am – 5:30 pm

Tuesday and Thursday: 10 am – 6 pm

ESSENTIAL FUNCTIONS

Oversee daily front and back-office operations, ensuring smooth patient flow and timely appointments.

Manage office scheduling, including patient appointments, staff shifts, and doctor availability.

Maintain office supplies, equipment, and vendor relationships.

Ensure compliance with HIPAA and all other healthcare regulations.

Implement and maintain office policies and procedures to improve efficiency.

Deliver exceptional customer service and maintain a professional, welcoming environment.

Resolve patient inquiries, complaints, and billing questions in a timely and professional manner.

Supervise patient check‑in / check‑out process, ensuring accuracy of records and payments.

Supervise administrative and support staff.

Conduct regular staff meetings and ongoing training.

Manage staff schedules, attendance, and time‑off requests.

Oversee billing, insurance verification, claims submission, and collections.

Prepare and review financial reports, deposits, and expense tracking.

Collaborate with the optometrist to develop and meet performance goals.

Monitor inventory levels for optical and office supplies and place orders as needed.

Assist with marketing initiatives such as patient recall programs, social media, and community outreach.

Track patient satisfaction and implement improvements to enhance patient retention.

EDUCATION AND EXPERIENCE

High School diploma or GED

Minimum of one year of experience within the optometry field

Four (4) years of experience in the healthcare industry

Two (2) years of experience in leadership
