The Office of the Chief Real Estate Officer is seeking a high-level administrative professional to join our innovative and collaborative team as the
Sr. Director of Administration . Located in Research Park, the Real Estate Office oversees strategic planning, acquisitions, leasing, and development efforts across the University of Utah's diverse real estate portfolio.
The Sr. Director of Administration reports to the Chief Real Estate Officer and will work in close cooperation with the Executive Director of Real Estate, as well as other members of the team. This position is 100% full-time and on-site in Research Park, Monday through Friday.
The Director's primary role is to support the Chief Real Estate Officer and provide strategic administrative leadership for the Real Estate Office. This includes managing the Chief's complex calendar and communications; supervising the Administrative Manager; coordinating internal operations; and ensuring timely preparation of meeting materials, including those submitted to the Board of Trustees. The Sr. Director serves as a key partner in advancing the office's goals through discretion, judgment, and effective cross-functional collaboration.
Responsibilities
Responsibilities for the Sr. Director will include, but are not limited to:
Managing the Chief Real Estate Officer's complex calendar, scheduling meetings, and preparing agendas and briefing materials Coordinating domestic and international travel, processing expense reports, and managing reimbursements Drafting, reviewing, and formatting high-level correspondence, memos, and executive presentations Ensuring timely preparation and submission of materials to the Board of Trustees, including agenda items, memos, and supporting documents Supervising and mentoring the Administrative Manager and supporting professional development Overseeing administrative workflows, internal operations, records management, and office communication Collaborating with University HR and Administrative Manager on workforce planning, onboarding, organizational culture, and staffing matters Direct oversight of operations, assist with budget management, and workforce planning to support the organization's mission and goals. Tracking key project timelines, deliverables, and action items across multiple workstreams Serving as liaison between the Chief Real Estate Officer and university departments, external stakeholders, and partners Coordinating special projects and supporting cross-functional initiatives and strategic planning Representing the Chief Real Estate Officer in planning meetings and university working groups Maintaining confidential records and tracking follow-up actions from leadership meetings Supporting preparation of presentations and reports for university executives, trustees, and external stakeholders Contributing to a positive, professional, and mission-driven work environment Serving as back-up to other office personnel as necessary Other duties as assigned
Work Environment and Level of Frequency typically required Nearly Continuously: Office environment. Physical Requirements and Level of Frequency that may be required Nearly Continuously: Sitting, hearing, listening, talking.Often: Repetitive hand motion (such as typing), walking.Seldom: Bending, reaching overhead.
Minimum Qualifications
Bachelor's degree in Business Administration, Health Care Administration or related area, or equivalency (one year of education can be substituted for two years of related work experience); eight years of progressively more responsible management experience; and demonstrated leadership, human relations and effective communications skills required.
Master's degree in Business Administration, Health Care Administration or related area preferred.

10+ years of experience in a similar administrative or executive support role Deep understanding of university leadership structures and executive scheduling practices Excellent organizational, interpersonal, written, and verbal communication skills Strong attention to detail and creative problem-solving abilities Demonstrated ability to build and maintain positive, collaborative relationships with colleagues at all levels of the university Sound judgment and discretion in managing sensitive and confidential information
Familiarity with University of Utah policies and procedures, as well as University systems is preferred but not required.
