The Senior Billing Specialist will assist attorneys in the preparation of bills to clients and perform follow-up actions on past due client accounts. Senior Billing Specialist - Chicago Recruiting Location US-IL-Chicago Department : Billing Summary The Senior Billing Specialist will assist attorneys in the preparation of bills to clients and perform follow-up actions on past due client accounts. Provides administrative and accounting support to Attorneys and the Accounting Department Staff. Answers billing questions, researches billing-related issues, and prepares and distributes billing proformas, invoices, and billing-related reports. Manages client accounts according to billing agreements and performs necessary maintenance. Manages past due accounts and performs necessary follow-up actions. Duties and Responsibilities Perform daily activities of the billing function in support of Partners and Clients, including generating and editing proformas, creating timecard summaries, updating matter and Timekeeper rates, and running client reports at the request of Partners and Attorneys. Ensure timeliness, accuracy, and acceptance of invoices monthly. Follow up diligently with Billing Partners and others to resolve client billing issues and ensure invoices are approved and billed. Understand and ensure correct implementation of client Outside Counsel Guidelines and fee arrangements. Ensure electronic invoices (EDI) are processed accurately and efficiently. Handle multiple tasks in a fast-paced environment with high attention to detail. Communicate professionally and courteously with attorneys, staff, vendors, and clients, maintaining confidentiality. Collaborate effectively within the billing team, finance team, and other departments. Assist management with special projects such as testing, pilot programs, policy discussions, and process improvements. Train and mentor new and less experienced billing staff, utilizing billing assistants to create efficiencies. Manage billing operations for the firm's largest and most complex client relationships, advising attorneys on billing matters. Maintain administrative responsibilities, including updating green sheets, UDFs, electronic submissions/appeals, and unallocated balances. Perform other duties as assigned. Salaries vary by location and are based on various factors including skills, experience, and education. The target salary range for Illinois is $88,000 - $100,000. Qualifications To perform this role successfully, the candidate must meet the following minimum requirements: Minimum of five years of experience as a billing specialist in a law firm. Expertise in 3E and E-billing systems. Ability to manage complex billing arrangements and provide high-quality customer service. Operational efficiency and best practice development skills. Mentoring skills and ability to assist with special projects. Other Skills and Abilities Strong organizational and attention-to-detail skills. Accurate proofreading abilities.
