Project Reporting Coordinator
Join JE Dunn Construction as a Project Reporting Coordinator, supporting internal and external project management teams with comprehensive and accurate data related to project reporting requirements.
Role Summary The Project Reporting Coordinator will provide routine and advanced administrative support, collecting, processing, inputting, organizing, and filing data and documentation from various sources and stakeholders to comply with municipal, state, and federal regulations. All activities support JE Dunn’s strategy, vision, and values.
Key Role Responsibilities - Core
Actively participates in all aspects of the project-specific safety plan and culture.
Collects, processes, inputs, organizes and files data and documentation from various sources and stakeholders as requested by project management team and/or as warranted by established business processes.
Processes information within specific timeframes to maintain efficiency and timeliness of documentation, submissions, communications and reporting.
Organizes information into standard formats and reports in various systems and locations such as the project website, CMiC, etc.
Coordinates electronic submission of documents. Prepares routine correspondence and reviews outgoing materials for conformance with best practice standards and formats.
Understands and ensures compliance with city, federal, state and municipal regulations and guidelines, such as the Davis Bacon Act, the Fair Labor Standards Act, Contract Work Hours and Safety Standards Act, etc.
Supports project management and ensures the appropriate application of prevailing wage and fringe benefit requirements, overtime standards and payroll deductions and workforce hours.
Contributes to effective, accurate, organized and timely access to information and communications by all stakeholders throughout the project.
Communicates subcontractor non‑compliance with the project management team by identifying and explaining the situation, actions for course correction, and recommended next steps.
Processes and distributes incoming communications (mail, e‑mail, fax) in a timely manner and responds to routine requests that do not require the supervisor’s attention.
Provides timely and effective communication via e‑mail, telephone, etc. to internal staff and external customers and subcontractors.
Receives and directs incoming telephone calls and visits.
Demonstrates a positive and professional attitude, maintaining composure under pressure.
Shares subject‑matter expertise to support teamwork and deliver results.
Demonstrates willingness and ability to work collaboratively and cross‑functionally to obtain information or solve problems in support of the team’s goals.
Exercises discretion and integrity with highly confidential and sensitive information.
Responds to business needs and requests from various stakeholders often with limited information, taking steps to gather knowledge necessary to complete tasks.
Assesses priorities and competing demands and adjusts the allocation of time and resources to increase efficiency and effectiveness.
Demonstrates positive approaches to adapting to change and supports project work program and corporate change initiatives.

Knowledge, Skills & Abilities
Ability to perform work accurately, completely and in a timely manner.
Strong verbal and written communication skills.
Proficiency in MS Office.
Intermediate organizational skills.
Intermediate attention to detail.
Ability to learn and use a variety of software, tools and systems necessary to meet business needs.
Knowledge of construction industry terminology and documents.
Intermediate knowledge of administrative, office and general accounting procedures and standards.
Ability to quickly and effectively solve complex problems.
Knowledge of organizational structure and available resources.Ability to build relationships and collaborate within a team, internally and externally.
Education High School Diploma or GED (Required).
Experience
2+ years of administrative support experience (Preferred).
Accounting/Payroll experience (Preferred).
Working Environment
Must be able to lift up to 10 pounds.
Must be willing to work non‑traditional hours to meet project needs.
Normal office environment but may be exposed to extreme conditions (hot or cold).
Frequent activity: Sitting, viewing computer screen.
Occasional activity: Standing, walking, bending, climbing, reaching above shoulder, pushing, pulling.
