Executive Assistant
Graduate College at Winston‑Sellam State University seeks an Executive Assistant to support the Dean and the Graduate College.
Position Overview
Are you an administrative professional with a background in Higher Ed? Are you passionate about supporting students on their academic journeys? The Graduate College of WSSU is seeking an Executive Assistant who will work directly with the Dean to manage calendars, coordinate meetings, arrange travel, and serve as the first point of contact for the Graduate College.
Responsibilities
- Manage calendars for the Graduate College and the Dean, record meeting minutes.
- Coordinate meetings and appointments, prioritize the Dean's schedule, and negotiate timeframes and deadlines.
- Handle travel arrangements for the Dean, including advancing payment approval, registering for events, booking hotels and flights, preparing itineraries, and reconciling expense documents.
- Serve as the first point of contact for the Graduate College, answering inquiries from students, faculty, staff, graduate applicants, and visitors.
- Develop and manage a database of contacts, initiatives, and assignments.
- Draft professional communications such as letters, emails, memos, meeting agendas, and reports.
- Communicate requests for action or information to appropriate personnel on behalf of the Dean.
- Review budget and fund availability, maintain office supplies.
- Collaborate with internal and external stakeholders to ensure a supportive environment for graduate students, faculty, staff, and applicants.
Key Competencies
Planning & Organizing Work – coordination of calendars, scheduling, prioritization, and travel planning.
Knowledge – Program & Organization – understanding of the Graduate College’s programs and technical assistance on special projects.
Communication – Verbal & Written – drafting, proofreading, and editing documents and correspondence.
Budgeting – reviewing budget, managing supplies, and reconciling expenses.
Interpersonal Skills – working cooperatively with the Graduate College team, building rapport with stakeholders.
Requirements
- High school diploma or equivalent and three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or related discipline and one year of administrative/office experience; or Bachelor's degree in business administration or related discipline; or equivalent combination of training and experience.
- Experience with Ellucian Banner (preferred).
- Proactive problem‑solving skills.
- Exceptional organization and communication skills.
- Demonstrated ability to manage a wide range of administrative and executive support tasks.
- Valid U.S. Driver's License (not required).
Preferred
- Prior experience with Ellucian Banner.

Additional Information
- Work Hours: 8‑5, 8‑hour days, 40 hours per week, 12 months per year.
- Appointment Type: Time‑limited, 6 years pending grant renewal.
- FLSA: Non‑Exempt.
- Salary Range: $37,306.00 – $86,062.00.
- Open Date: 11/13/2025. Close Date: 12/04/2025.
- Location: 322 Hill Hall.
