Position Overview: The Clinic Lead supports the day-to-day operations of the clinic, ensuring smooth coordination across the Front Desk, Medical Assistant, and Surgery teams. This role leads by example, promotes collaboration between departments, and ensures that patient flow, scheduling, and communication align with Aesthetx’s operational standards and exceptional patient experience.
The ideal candidate is a proactive, hands‑on leader who understands both administrative and clinical workflows, thrives in a fast‑paced environment, and fosters a professional and supportive team culture.
What You’ll Do: Operational Leadership
Oversee daily clinic operations to ensure seamless patient flow and coordination across departments.
Act as a bridge between the front office, medical assistants, and surgical team to ensure timely communication and efficient workflow.
Identify process inefficiencies and collaborate with leadership to improve systems and operations.
Perform front desk duties as needed, including patient check‑in/out, scheduling, and phone or email communication to support daily operations.
Support adherence to practice policies, protocols, and compliance standards (including HIPAA and safety regulations).
Assist with problem‑solving and real‑time issue resolution during clinic hours.
Scheduling & Coverage
Create and manage staff schedules for
Front Desk
and
Medical Assistant
teams based on clinic coverage and provider schedules.
Review and approve time‑off requests while ensuring adequate coverage at all times.
Monitor attendance and adjust schedules as needed to maintain efficient operations.
Serve as the first point of contact for day‑to‑day questions, support, and guidance for front desk and MA staff.
Promote teamwork, accountability, and service excellence through positive leadership.
Assist with onboarding and cross‑training to ensure all staff understand clinic procedures and service expectations.
Support performance discussions and provide input on staff development and improvement opportunities.
Patient Experience & Service Standards
Ensure that every patient interaction upholds Aesthetx’s standards of professionalism, care, and hospitality.
Address patient concerns promptly and ensure issues are escalated appropriately when necessary.
Collaborate with clinical and administrative teams to enhance the overall patient journey.
Maintain consistency in service, communication, and patient handoffs across departments.
Administrative & Operational Support
Support the Practice Manager with operational reporting, scheduling coordination, and process implementation.
Communicate important updates, policy changes, and operational needs across teams.
Oversee non‑surgical inventory management and assist with supply ordering.
Participate in staff meetings and contribute to continuous improvement initiatives.
Qualifications Required
2+ years of Medical Assistant experience in a clinical or aesthetic setting.
Strong understanding of clinical workflows, patient care, and provider support.
Demonstrated leadership capability (lead, senior, or trainer experience preferred).
Excellent communication, problem‑solving, teamwork, and patient service skills.
Ability to multitask, prioritize, and adapt in a fast‑paced environment.
Proficiency with EMR systems (experience with Nextech is a plus).
Preferred
Experience in plastic surgery, dermatology, aesthetics, or specialty medicine.
Experience leading a team, managing schedules, or overseeing clinic operations.
Certified Medical Assistant (CMA) or Registered Medical Assistant (RMA).
Experience with EMR/EHR and scheduling software (e.g., Nextech, ModMed, or similar).
Professional demeanor with the ability to lead through influence and example.

Demonstrated team leadership experience (Lead MA, Senior MA, Trainer, or similar).
