Position Summary We have an exciting opportunity to join our team as a Project Assistant. In this role, you will provide project/program support and a variety of moderately complex clerical functions, including gathering, receiving, classifying, reconciling and consolidating data, coordinating scheduling and appointments, compiling information for reports, responding to routine and non‑routine inquiries, and greeting and directing visitors. Works under general supervision.
Job Responsibilities
Moderate Clerical Functions: Complete petty cash vouchers, obtain necessary signatures, manage petty cash, prepare payments and check requests, and provide messenger services as needed.
Word Processing/Typing: Prepare and proofread memos, reports and applications; independently respond to routine correspondence and develop documents for presentations or meetings.
Scheduling and Coordinating: Maintain routine calendar, schedule appointments, assist in conference preparation (logistics, technical support, catering), and support special event planning.
Filing and Mail Distribution: Maintain office filing systems, retrieve materials, and distribute mail.
Clerical Support: Provide photocopying, faxing, data entry, office supply ordering, and greet clients while resolving non‑routine situations.
Project Support: Assist with project and event planning, coordinate logistics, develop and disseminate project products, monitor budgets, develop proposals, and support data collection activities.
Reports: Receive, classify, reconcile and consolidate data; compile routine factual forms and reports; research problems and summarize data.
Minimum Qualifications
High school diploma or equivalent.
Proficiency in Microsoft Excel and Office 365.
Strong analytical ability, critical thinking, and proactive problem‑solving skills.
Organized, detail‑oriented, dependable, and flexible.
Excellent oral and written communication skills and ability to communicate effectively with stakeholders regarding design and implementation.
Preferred Qualifications
Bachelor’s degree in Facilities Management, Engineering, Business, or other relevant field.
Two years of work experience in Facilities Management, preferably with Maintenance Connection or other CMMS.

Salary Range Annual salary range: $42,100.00 – $43,468.25. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range does not include bonuses, incentive pay, differential pay, or other compensation.
