Position Description
Law Firm Office Manager/Bookkeeper
We are seeking a detail-oriented, experienced, and highly organized Bookkeeper to manage the daily financial operations of our law firm. The ideal candidate will have a solid understanding of accounting principles, preferably within a professional services or legal environment, including knowledge of trust accounting (IOLTA/Trust) rules. This role is critical to maintaining the firm’s financial health, ensuring compliance, and providing accurate financial reports.
Key Responsibilities
Financial Record Management: Maintain accurate and up-to-date financial records, including general ledger, accounts payable, accounts receivable, and payroll transactions.
Trust Accounting (IOLTA/Trust): Manage and reconcile client trust accounts (IOLTA) in strict compliance with Washington State bar regulations. Ensure proper segregation of client funds and accurate tracking of client retainers and disbursements.
Billing and Collections: Generate and process client invoices (bills) using the firm's legal billing software (Juris), track accounts receivable, and assist with collections efforts as needed.
Accounts Payable: Process, verify, and pay vendor invoices, expense reports, and firm operating expenses in a timely manner.
Bank Reconciliations: Perform monthly reconciliation of all operating and trust bank accounts.
Payroll: Process bi-monthly payroll, manage employee benefits deductions, and ensure compliance with all federal and state payroll tax requirements in coordination with an external payroll service.
Financial Reporting: Generate monthly, quarterly, and annual financial statements (P&L, Balance Sheet) and custom reports for firm management.
Expense Management: Monitor and track firm operating expenses, suggesting cost-saving measures when appropriate.
Compliance & Audit: Assist with year-end financial closing, preparation for tax filings (working with external CPA), and internal/external audits.
Software Management: Maintain proficiency in and manage the firm’s accounting and billing software (Juris).
Maintaining a professional and positive firm work environment by facilitating effective communication and information sharing among professional, paraprofessional management, and support staff.
Work closely with the Administrative Staff to coordinate office management tasks and ensure operational needs are met.
Manage facilities management and vendor coordination (tech support, legal research, firm management software, and malpractice insurance).
