Job Summary The Patient Service Representative I is responsible for providing customer service and ensuring the patient experience, either by phone or in person, is exemplary. They coordinate clerical tasks such as answering phones, greeting patients, welcoming visitors, and scheduling appointments in a professional and timely manner. They move patients through the intake and checkout process including registration, scanning, filing records, collecting payments, verifying insurance, ensuring procedures are followed to create a seamless patient experience.
Key Responsibilities
Welcome and greet patients and visitors in person or over the phone.
Maintain a clean and organized front desk area.
Register new patients and update demographics; collect detailed information including co-payments and insurance data.
Collect outstanding patient balances.
Obtain referrals and authorizations when required.
Scan incoming faxes, consent forms, reports, and other patient information into the chart.
Generate batch transmittal reports daily.
Facilitate patient flow, notifying providers of arrivals, monitoring delays, and communicating with patients and staff.
Schedule follow‑up services and office visits.
Respond to inquiries from patients, prospective patients, and visitors courteously.
Keep office supplies stocked by anticipating inventory needs, placing orders, and monitoring equipment.
Protect patient confidentiality by securing PHI and logging off computers.
Ensure proper hand‑off of responsibilities once tasks are completed.
Meet attendance criteria and start work promptly; be punctual and dependable for assigned shifts.
Respect and acknowledge the organization’s commitment to cultural diversity.
Demonstrate efficient use of time and resources.
Ensure all medical records are accurate and complete.
Perform other position‑related duties as assigned.
Certifications & Experience None required. Minimum 1–3 years customer service experience, preferably in a medical office (urology preferred). Basic knowledge of CPT and ICD‑10 coding is preferred.
Knowledge, Skills & Abilities
Proficient in computer programs and applications, including Microsoft Office.
Knowledge of healthcare systems operations and experience navigating EMRs.
Ability to answer multiple incoming telephone calls.
Excellent organizational skills and multitasking ability.
Customer‑oriented; able to remain calm in difficult situations.
Work independently and manage multiple deadlines.
Understand established office routines and policies.
Keep financial records and perform basic math tasks.
Knowledge of medical terminology.
Excellent verbal and written communication skills.
Proficient interpersonal relations.
Basic knowledge of health insurance products (HMO, PPO, HSA, etc.).
Navigate online insurance portals to verify benefits.
Support compliance and accreditation efforts such as OSHA, HIPAA & CMS guidelines.
Maintain HR confidentiality standards.
Education Requirements
High School Diploma or equivalent required.
Some college work preferred.
Physical Demands Carrying weight up to 50 lbs; carrying 1–25 lbs most often; occasionally 26–50 lbs. Pushing/Pulling 1–25 lbs seldom. Lifting from floor to chest up to 50 lbs occasionally. Lifting from floor to waist up to 50 lbs seldom.
