Overview The senior specialist in technology business operations plays a critical role in enabling leaders and teams to operate strategically and efficiently across multiple areas of the technology organization. This position is responsible for driving clarity around key initiatives and metrics, supporting both recurring and ad hoc projects and providing high-level administrative and operational support to department leadership. The ideal candidate is highly organized, proactive and detail-oriented, with a strategic mindset, strong service orientation and exceptional interpersonal and communication skills.

Responsibilities

Ensure flawless execution of meetings and events—onsite, offsite and virtual—through proactive planning, strategic agenda design, detailed run-of-show coordination, accurate notetaking, comprehensive meeting material preparation and timely follow-up with stakeholders

Lead strategic data efforts by gathering, analyzing and reporting key metrics to deliver actionable insights across the organization

Strengthen internal and external communications by partnering with the communications team to refine processes and train technology team members on standards and best practices

Manage assigned projects end-to-end with precision and thorough documentation, including timelines, resources, budgets, status updates and deliverables

Help lead planning and execution of Pilot’s annual technology hackathon event and other key departmental events, ensuring strategic alignment, cross-functional coordination and exceptional attendee experience

Develop executive-level content in PowerPoint, Excel, and Word and mentor others in producing high-impact materials

Drive operational efficiency by administering collaboration tools and designing scalable processes and documentation to support team effectiveness

Maintain and optimize SharePoint content for the technology leadership team, ensuring timely accessibility and relevance

Foster strong, collaborative relationships with executive and administrative assistants, as well as technology leaders across all focus areas, to enhance coordination, communication and operational effectiveness

Promote the technology organization’s strategy through daily interactions that reinforce purpose, drive alignment and support business goals

Perform additional duties as needed to support evolving priorities and initiatives

Qualifications

Bachelor’s degree in business, communications, project management, technology management, information systems or other related field

5 years of strategic planning, project management or other related experience, preferably in a fast-paced corporate environment

Strong proficiency in Microsoft PowerPoint, Excel, Teams, Outlook and Word

Demonstrated experience of working effectively independently as well as collaborating as part of a team

Successful management and use of Microsoft SharePoint or similar collaboration tool(s) preferred

Work experience in or with technology engineering teams preferred

Exceptional interpersonal skills

Excellent written and verbal communication skills

Srong ability to interact professionally and build relationships with a diverse group of leaders, team members and vendors

Demonstrated experience taking initiative, multi-tasking and meeting deadlines

Passionate about taking initiative and seeking ways for continuous improvement

Ability to work successfully as part of a team as well as independently

Management of confidential information with professionalism and discretion

Demonstrated experience of beginner to intermediate analytical skills

Additional Information

Travel required up to 5%

General office work requires sitting or standing for long periods of time

Able to work evenings and odd hours as needed

Able to lift 20 lbs.
