Description

Advanced clerical, secretarial, and staff assistant work which includes the operation of computer based data entry and word processing software. Examples of Duties

The following statements describe the principal functions of this job and its scope of responsibility but shall not be considered an all-inclusive listing of work requirements. Individuals may perform other duties as assigned, including working in other functional areas to cover absences or relief, to equalize peak work periods, or otherwise to balance the workload.Performs duties of a staff assistant nature and participates directly in the work for the individual(s) supported. Secures details of specialized information, coordinating office work and providing information regarding the services and operation of the unit. Functions as office receptionist and occasionally assumes Department receptionist duties as needed.

Keeps appointment calendars and schedules appointments. Receives and screens calls and refers callers to other employees. Takes notes and minutes of conferences, meetings and functions, to include Port Authority meetings as required. Prepares forms and composes letters. Sets up and maintains specialized office files. Files letters, reports and related technical information in the prescribed manner. Assembles information for others use. Opens, prioritizes and processes mail. Uses computer-based word processing, spreadsheet and database software to prepare letters, forms, reports, schedules, manuals, booklets, requisitions, purchase orders and related paperwork. Types information or enters data into computer and tablets as required. Retrieves data and composes reports. Performs research and retrieval of records, both digital and written. Conducts statistical comparisons of information. Assists in the preparation and maintenance of department records. Maintains office supplies. Maintains and uses Notary Public License in support of the Department. Primary support for the Customer Service position in charge of taking service requests via: phone, email, walk-ins and internal requests. Data entry of all requests into an Asset Management System. Primary support of entering, emailing and filing the R.O.W. and Subdivision permits and assisting DPW staff as needed. Other duties as assigned. Regular attendance.

Emergency Response County employees are required to report for work during a state of emergency and are subject to recall around the clock for emergency response operations which may include duties other than those specified in this job description. Typical Qualifications

Education Graduation from an accredited high school, or possession of an acceptable equivalency diploma.

Experience Three (3) years' experience involving secretarial / clerical duties including the operation of a personal computer and tablet, data entry and report development.

A combination of education, training and experience may be substituted at the County's discretion.

Skills Computer skills, basic filing knowledge and the ability to work well with others.

Licenses, Certifications or Registrations Must possess and maintain a valid Florida Driver's License and be insurable by current insurance carrier. Must be a licensed Notary Public within 120 days of employment.

Required Competencies

Knowledge of business, English, spelling, and punctuation to prepare documents and compose letters, etc. Knowledge of office practices and procedures. Knowledge of general mathematics. Knowledge of the department's policies, procedures and practices. Ability to establish and maintain effective working relationships with employees and the public. Ability to access input and retrieves information from a computer software and e-mails. Ability to communicate using speaking, hearing and visual skills. Skill in the operation of computers, tablets, and digital phones.
