Strong communication, judgment, and problem-solving skills. Strong attention to detail as well as solid organization/time management skills. Must be an enthusiastic, positive team player who is willing to assist, and who works well with colleagues. Able to work in a fast-paced environment and handle multiple tasks concurrently. Flexibility with assigned duties and hours. High level of professionalism and business etiquette.
Experience working on trading floor and supporting multiple groups is a plus. Other Requirements:
Proficient in Microsoft Office applications, especially Outlook for email, calendar and contacts. Proficient in Excel, Powerpoint & Word. Keep up to date with office procedures and technical training as well as all policy guidelines & compliance requirements.
Responsibilities:
Responsible for SEC Mail Screening, arrange messengers and overnight package services. Responsible for CD uploads of documents to internal systems. Responsible for the creation of Job Numbers to assist in allocation of expenses. Maintains scheduling for Conference Room Calendars. Coordinate related conference room requests including catering, audio/videoconference, etc. Light to moderate client contact. Telephone coverage for team, answer phones, take accurate messages, back-up other lines as needed. Provide backup support for colleagues during vacation/sick days, and assist their teams/managers as needed with phone coverage, calendar maintenance, travel, lodging and other administrative office needs. Navigate Firm's resources, interface with various departments to collect information, respond to requests, obtain services, etc. Miscellaneous Projects.
