Overview
Unit Secretary – IP Support (Memorial Health). Serves as primary communication hub for the unit, answering calls, entering orders into the electronic medical record, and performing complex secretarial functions while embodying MHS Performance Excellence Standards.
Location: Decatur, IL | Salary: $35,000 – $40,000 per year
Responsibilities
Promptly greet patients, visitors, and staff with professionalism.
Use AIDET and Greet & Feet to receive and direct callers.
Coordinate telephone, verbal, written, and electronic communication with nursing staff, physicians, patients, and visitors.
Prioritize stat orders and immediate needs; process orders accurately.
Enter patient orders and maintain accurate records in the electronic medical record.
Maintain call light system assignments during each shift.
Assist with service requisitions, supplies, and equipment; validate accuracy and place in assigned location.
Manage unit supply stations and actuate equipment logs with Biomed.
Perform medical records maintenance: assemble chart forms, packet patient identifiers, thin charts, forward documents to Medical Records, and file patient data after nurse review.
Support unit operations: freshen drinking water, serve/collect food trays, respond to call lights, and provide direct observation as delegated.
Assist with medication handling and witness controlled substance counts in the Pyxis.
Participate in QI activities and maintain logs, statistical records, and data collection.
Adhere to MHS Performance Excellence Standards (Safety, Courtesy, Quality, Efficiency).
Follow established policies, procedures, and the chain of command; maintain unit cleanliness and safety reporting.
Qualifications
High school graduate or GED required; associate's or bachelor’s degree preferred.
Minimum two (2) years secretarial or comparable clerical experience.
Medical Office Assistant certificate or one (1) year of business or related college coursework acceptable.
Demonstrated excellent interpersonal and customer service skills.
Strong knowledge of medical terminology.
Proficient with personal computers and software (Microsoft Excel, Word, Outlook, PowerPoint).
Self‑directed, motivated, and able to work successfully with a variety of people and disciplines.
