The Opportunity
The
Manager, New Business Clearance
is responsible for the oversight and administration of the Firm’s conflicts of interest processes, ensuring compliance with all relevant ethical and risk management standards. Manages a team of Conflicts Analysts, supervises the preparation and review of conflict reports, and maintains the integrity of the Firm’s conflicts database. The Manager serves as a key liaison between attorneys, Firm management and business services professionals, providing guidance on conflict issues and ensuring the highest standards of accuracy and professionalism in all conflict-related matters.
Supervises and leads a team of Conflicts Analysts, providing ongoing training, goal setting, guidance and regular feedback.
Leads a wide variety of departmental projects, from inception through completion, by setting clear objectives, assigning responsibilities and monitoring progress.
Assumes a lead role in application testing related to new business intake and conflict system upgrades, coordinates team participation and sets project milestones.
Implements and maintains a comprehensive employee training program and manual to ensure team proficiency, continuous learning and development.
Serves as the primary point of contact for conflict report-related inquiries from attorneys and employees.
Oversees and prepares conflict reports in connection with new business, incoming attorneys, and other initiatives, ensuring accuracy and timeliness through effective team coordination.
Utilizes internal and external resources for pertinent information relating to corporate relationships and structures on potential clients and other parties.
Communicates effectively with attorneys and business services professionals to gather necessary information for conflicts checks, conflicts review and clarify any discrepancies in the iManage request form.
Ensures that all information (e.g., party names, party positions, etc.) entered into the conflicts system is accurate and up to date.
Maintains and updates the conflicts of interest database, ensuring data integrity and the removal of duplicate or outdated entries.
Oversees the maintenance of the client engagement database, including waivers and engagement letters.
Manages the implementation of ethical walls and other risk management protocols as required.
Provides coverage for department functions, including after-hours and weekend support as needed, ensuring continuous operation of conflicts resolution processes.
Ensures current knowledge of Firm policies and practices, current knowledge of industry trends, and continued professional development for business services professionals.
Participates in the interviewing, selection, and training process.
Coordinates and oversees department projects, day-to-day operations, and long-range plans.
Monitors time, attendance, overtime, and expense reports to ensure accuracy and compliance with Firm policies.
Provides coverage for department functions, including after-hours and weekend support as needed, ensuring continuous operation of conflicts resolution processes.
Effectively utilizes the Firm's performance management process to communicate performance expectations, monitor performance, coach employees, and manage unsatisfactory performance.
Oversees employees' work performance and provides guidance in the resolution of problems.
Initiates disciplinary procedures in collaboration with the Human Resources Department.
Recommends guidelines and practices to promote efficiency, effectiveness, excellent customer service and improved employee relations, in alignment with the Firm's Core Values.
Develops and communicates departmental guidelines and procedures.
Ensures accurate and timely responses to requests for departmental services.
Engages in strategic (i.e., long-range) planning by developing departmental goals and supporting objectives for assigned department(s).
Demonstrates effective interpersonal, written, and verbal communication skills for effective work relationships.
Manages Firm resources responsibly.
Complies with and understands Firm operations, policies, and procedures.
Performs other related duties as assigned.
Qualifications
Current knowledge of conflicts of interest procedures and best practices, trends and techniques
Knowledge of relevant Firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
Knowledge and implementation of the annual budget process
Demonstrates proficiency in Intapp Conflicts, Intake, and Walls
Demonstrates effective interpersonal and communication skills, both verbally and in writing
Excellent analytical, troubleshooting, organizational, and planning skills
Demonstrates experience with leading and supervising others
Ability to administer Firm policies and procedures
Ability to handle multiple projects and shifting priorities
Ability to handle sensitive matters and maintain confidentiality
Ability to organize and prioritize work and delegate effectively
Ability to work well in a demanding and fast-paced environment
Ability to work well independently, self-motivated, as well as effectively within a team
Ability to use discretion and exercise independent and sound judgment
Flexibility to travel
Flexibility to adjust hours and work the hours necessary to meet operating and business needs
Education and Experience
Minimum of five or more years of experience in conflicts of interest administration within a legal environment and two years of supervisory experience
