Academic Program Administrator (Lifelong Learning) The Whiting School of Engineering is seeking an Academic Program Administrator who will plan, coordinate, and oversee all logistical aspects of course deliveries for Executive and Professional Education programs. Responsibilities include scheduling, instructor coordination, budgeting, learner communications, and ensuring seamless program delivery across in‑person and virtual formats.

Specific Duties & Responsibilities

Develop and implement processes, procedures, and systems (e.g., course scheduling system, student and faculty database, payroll).

Work with program director or department chair to establish program course schedules.

Participate in developing marketing materials and brochures for programs.

Represent the program in administrative matters related to space, facilities, technology, student information systems, and classroom support.

Create program reports (budget and non‑budget) and monitor expenditures; contribute to budget development and projections.

Manage accreditation requirements for undergraduate and graduate programs and maintain regulatory compliance with state board and other agencies.

Reconcile, maintain, and project departmental budgets across various categories.

Process departmental check requests, travel reimbursements, invoices, and fund transfers.

Onboard faculty and coordinate payment through their home department.

Procure computers, equipment, and supplies for office, classroom, events, and faculty research.

Assist with student admissions, visa issues, and graduate student paperwork.

Coordinate academic events, including accommodations, meals, and catering.

Manage course planning, scheduling, changes, and cross‑listing requests.

Maintain listservs and circulate relevant program information.

Provide excellent customer service to students and assist with administrative tasks.

Support human resources functions: new hires, bonuses, position changes, terminations, and stipend assignments.

Oversee program enrollments, learner payments, and certificate issuance.

Coordinate all logistics for courses and programs, including venue setup, catering, technology readiness, and material distribution.

Minimum Qualifications

Bachelor's degree.

Three years of progressively responsible experience in program administration in an academic environment.

Additional education or experience may substitute for required education to the extent permitted by JHU equivalency formula.

Preferred Qualifications

Self‑starter with high accountability and ownership for outcomes.

Experience with Asana or other project management tools.

Technical Qualifications & Specialized Certifications

General knowledge of SAP (ECC, Analysis, Shopping Cart), Concur, JHED, Slate, Canvas, and Microsoft 365 (Word, Excel).

Experience with SIS (DGA, Advisor Dashboard, Administrator Dashboard, CLSS).

On‑Call or Non‑Standard Work Hours

Occasional early morning or evening hours required during program delivery weeks and special events.

Classified Title: Academic Program Administrator Role/Level/Range: ACRP/03/MC Starting Salary Range: $48,000 – $84,100 per year (commensurate with experience) Employee Group: Full Time Schedule: M‑F, 37.5 hrs per week FLSA Status: Exempt Location: Hybrid – Homewood Campus
