Associate Research Administrator Department: MED-Medical Social Sciences

Salary/Grade: EXS/6

Target hiring range: $56,782 - $70,978 per year. Offered salary based on education, experience, skills, internal equity and market data.

Job Summary

Provides administrative assistance and routine problem‑solving in support of the unit's research programs and mission. Assistance may include preparation and/or submission of routine research proposals, grants and/or contracts according to standard practice or general instruction. May assist with or complete proposal submissions, prepare information used in grant budgets, process and project financial transactions, and effort reporting activities.

Supervisor provides objectives, deadlines and specific instructions only for new, difficult and/or unusual work. Work is reviewed upon completion and only occasionally to verify technical accuracy & compliance with practice, policy, and procedures. EE informs supervisor of ongoing progress and/or potentially controversial matters.

Specific Responsibilities

Administer entire research projects such as single‑PI basic proposals, grants and/or contracts.

Assist with components of multi‑PI or multi‑unit proposals, grants and/or contracts.

Manage NIH RO1 (approx $250K/yr over 5 yrs.) and NIH R21 (approx $150K/yr over 2 yrs.).

Handle foundation and NSF grants, fellowships.

Pre‑award: review solicitation, organize proposal, renewal, resubmission applications, complete NU OSR forms, and entire application for smaller, less‑complicated proposals.

Post‑award: administer research grants and/or contracts, review account establishment, expenditures, track formal re‑budgeting, coordinate core resource account setup and maintenance, prepare data for interim and final financial/technical progress reports, participate in account closeout activities, monitor project under/overspending, communicate with PI, unit and project personnel, OSR, ASRSP, sponsor.

Financial: review or approve transactions, reconcile standard budget & payroll information, prepare payroll journals for funding salary from sponsored projects, coordinate signatures on 90‑day letters required when transactions are not timely.

Human Resources: process paperwork associated with hiring, termination, orientation of new employees.

Compliance: resolve standard compliance problems, become familiar with regulations involving research safety, animal and human subjects, alert supervisor to higher risk compliance issues.

Miscellaneous: perform other duties as assigned.

Minimum Qualifications

Successful completion of a full 4‑year college/university program leading to a bachelor’s or higher degree, or an appropriate combination of education and experience.

1 year financial or administrative support experience in a research environment or other relevant experience.
