Veolia is seeking a Project Coordinator for our client in San Francisco, CA. The Project Coordinator will have a minimum of five years of experience in facility services, administrative assistance, high-end hospitality or similar, and experience in technical writing may also be considered. This role will join a team of approximately 12 Facilities Engineers and a client Asset Services Team, supporting 2.5M square feet of Class A research and development lab and office space. Primary Duties/Responsibilities
Manage and organize proposals, including uploads and ongoing document management. Conduct regular property and vendor walks (landscaping, janitorial, etc.) and provide inspection summaries with follow‑through on action items. Prepare and maintain templates and draft entries within the Teams proposal log. Monitor Angus work orders and coordinate with Security, janitorial and engineering teams for timely follow‑up. Create and post building signage. Serve as point of contact for hauling and waste communications. Oversee permit handling – scanning, delivery, and digital filing. Maintain the building engineering and vendor activity calendar. Draft facilities‑related tenant memos and notices. Manage badge access and access control for tenants and vendors. Coordinate with security and vendors for scheduled on‑site work. Support project management efforts, including painting projects and garage improvements (elevator repairs, non‑slip stair paint, etc.). Assist building engineering teams in maintaining the project list and tracking progress. Manage Hub updates, including tenant memos and contact/company information. Provide logistical support for tenant events and on‑site coordination. Overall project management of smaller facilities‑related items such as landscaping, painting, or signage enhancements. Qualifications
Education/Experience/Background
Associated degree or equivalent college education from an accredited institution. Five (5) years of experience in facility services, administrative assistance, high‑end hospitality or a similar fast‑paced, high‑volume professional environment. Technical writing experience may also be considered. Preferred: experience working in SAP. Preferred: experience working in Angus Anywhere or other CMMS platform. Knowledge/Skills/Abilities
Proficient in MS Office Suite (Outlook, Word, Excel) and industry standard office equipment. Excellent verbal and written communication. Some proficiency in reading architectural, mechanical, electrical, and/or plumbing drawings. Strong interpersonal, problem‑solving, organizational and administrative skills. Initiative‑taking, proactive, focused on results, and motivated to provide excellent service. Dependable, able to multi‑task, with strong attention to detail. Ability to work well independently and as part of a team. Pay Range
$67,000 to $69,000 per year. Benefits
