Job Title Grants Management Associate

Pay Details The annual base salary range for this position in California is $100,000 to $125,000 per year. The starting pay for the successful candidate depends on various job‑related factors including but not limited to the candidate’s geographic location, job‑related knowledge, skills, experience, education/training, internal value, peer equity, external market demands, and organizational considerations.

Position Summary The Grants Management Associate plays a key role in supporting the quality and efficiency of the Foundation’s grantmaking processes and communication with grantee partners as the Foundation seeks to double its grantmaking over the next decade. The Associate is responsible for maintaining digital records, assisting with grants management workflows, and ensuring that all documentation is complete, accurate, and properly recorded across the grants management systems. This work includes helping to prepare and track grant records, verifying grantee compliance, and assisting in the preparation and execution of grant agreements and payments. The Associate ensures that the day‑to‑day grants administrative tasks are carried out with attention to detail and a commitment to operational excellence. This role is forward‑facing with grantees and applicants and is essential in providing timely and technical assistance while upholding the Foundation’s core values. The ideal candidate is highly organized, adaptable, collaborative, and passionate about supporting the Orange County nonprofit community.

Key Responsibilities Grants Pipeline Management (~65%)

Manage the day‑to‑day grant administrative tasks throughout the grant lifecycle; serve as the organization’s GivingData (Grants Management System) power user, ensuring data integrity, agreement management, and accurate information gathering from grantee partners

Prepare, send, and track award letters and grant agreements

Ensure accuracy and completeness of all grant records, including organization contact information, grant coding, and payment and reporting schedules

Monitor GivingData workflows and partner across the organization to usher grants through the grant lifecycle

Serve as a key partner and liaison for grantees, applicants, and internal stakeholders, providing grant administration and systems support

Review grants to ensure compliance with IRS regulations and Foundation requirements

Support in identifying and recommending continuous improvements to processes, data management, workflows, and procedures

Operations, Data & Systems (~25%)

Support data quality in GivingData through ongoing data cleanup efforts

Support the generation of data and development of grantmaking reports for various audiences and needs

Maintain technical knowledge by attending educational workshops, reviewing release notes, and participating in the GivingData user community

Perform other duties and projects as assigned

Community Engagement (~10%)

As appropriate, attend trainings, conferences, and selected site visits and community events to better support our grantee partners and the Orange County nonprofit community

Qualifications

Bachelor’s degree or equivalent experience in a related field such as nonprofit management, community development, or public administration

2–4 years of experience in nonprofit, philanthropic, or community-focused roles with transferable skills

Proficiency with Microsoft Office Suite, systems and technology solutions, and databases (preference for familiarity with grants management systems, especially with GivingData)

Familiarity with IRS compliance rules associated with 501(c)(3) private foundations

Strong organizational skills with the ability to manage multiple projects and deadlines

Excellent written and verbal communication skills, with a focus on clarity and collaboration

The ability to champion a culture of continuous improvement as we evolve

The ability to prioritize correctly, exercise independent judgment, and make good decisions in circumstances that won’t always have pre-set parameters
