Customer Service Specialist – Florence, USA

Location: USA – Florence, 2505 Ted Bushelman Blvd.

Job Summary

The CSR is responsible for building rapport and trust with clients by consistently delivering exceptional service. They handle accurate and timely data entry of shipping/receiving info, order processing, and support efficient site operations.

Essential Duties and Responsibilities

Customer Service

  • Process and input all customer orders.
  • Run and print shipments from WMS.
  • Run stock reports to check product availability.
  • Generate all related paperwork and necessary information for customer work orders.
  • Check all orders for special requests.
  • Expedite orders as necessary, trace and notify customers of any activity concerning merchandise.
  • Follow up with other departments to ensure service standards are met.
  • Verify invoicing accuracy by checking customers.
  • Handle returned merchandise efficiently and ensure proper customer credits.

Customer Interfacing Activities

  • Maintain good working relationships with customers; respond to inquiries and complaints.
  • Act as liaison between warehouse and customer in administration of accounts; between office and customer regarding invoicing and credit changes.

Documentation

  • Ensure accuracy of all receiving and shipping documents.
  • Gather and maintain all data and records relating to shipping and receiving activities.
  • Confirm that receiving counts match packing lists/Purchase Orders and shipping counts match picking documents.
  • Prepare reports concerning customer service as required.
  • Assist in resolving discrepancies.

Data Entry

  • Operate the computer terminal proficiently.
  • Enter and verify data regarding customer orders, shipments, receipts, inventories, adjustments etc.

Clerical

  • Oversee all paperwork associated with orders; maintain corresponding files.
  • Answer phone calls and operate office machines necessary to perform duties.
  • Greet customers and office visitors.
  • Effectively correspond with customers as required.

Communication

  • Answer incoming telephone calls cheerfully, courteously, and timely.
  • Promptly route calls to proper party, take messages as needed.
  • Assist callers with general information and inquiries.
  • Direct visitors to appropriate departments.
  • Assist drivers at check‑in window various times during the day.

Other Duties (Site Specific)

  • May be expected to cross‑train in other administrative functions to support the site and aid associate development.
  • Work overtime as dictated by business, whether mandatory or voluntary.

Qualifications

  • High school diploma or GED.
  • Minimum 1 year experience in a customer‑service related capacity.
  • Ability to work in unregulated temperature warehouse environments (mild to moderate).

Preferred Qualifications

  • 1–3 years warehouse/logistics support experience.
  • 2–3 years experience in a customer‑service related capacity.

Skills, Knowledge & Abilities

  • Computer Skills: Intermediate computer skills; proficient with MS Office and WMS functions.
  • Language Skills: English (reading, writing, verbal); business writing proficiency.
  • Mathematical Skills: Intermediate level for verifying quantities, counting inventory, etc.
  • Other: Strong attention to detail and timeliness; ability to work with minimal supervision; multitasking; effective communication; adapt to change and thrive in fast‑paced environment.

Physical Demands

  • Occasional handling/fingering, sitting.
  • Frequent bending.
  • Constant walking and standing.
  • Lift/carry/push/pull 21–50 pounds; reach above shoulder, reach outward, squat, or kneel.

Work Environment

Rare exposure to fumes or airborne particles, toxic or caustic chemicals. Noise level typically low to moderate.
