About This Role The Aspen Institute seeks a highly organized and detail-oriented Program Coordinator to support the Technology Leaders Initiative. This full‑time position (salary $52,000–$66,000) is located in Washington, DC with an expectation to work from the office at least 40% of the time. The role reports to the Managing Director and will dedicate 20% of working time to events operations support for the Resnick Aspen Action Forum, an annual gathering of 500+ Fellows in July.

What You Will Do

Events Management:

Manage a year‑round events program outside of seminars, including partner, inter‑Aspen, and alumni events. Run logistics for multiple events per quarter—venue sourcing, food & beverage, attendee communication, on‑site staffing, and stakeholder engagement.

Nominations Support:

Coordinate logistics for the nomination and selection process of each new class of Fellows, prepare materials (bios, background documents), set up interviews for selection committee members, and issue letters to nominees and nominators.

Seminar Management:

Lead planning and execution of 2+ global seminars annually, each lasting 4–6 days for a cohort of 20 senior leaders. Build project plans, manage travel, accommodations, transportation, on‑site materials, and communicate logistics to Fellows and moderators.

Program Financials:

Manage event and seminar‑related expenses and program budget tracking; process invoices, reimbursements, and maintain financial records.

Administrative Support:

Schedule internal and partner meetings, manage follow‑up, support program data management in Salesforce and other platforms, and conduct periodic research/technology ecosystem mapping projects.

What You Will Need To Thrive

Bachelor’s degree and 1–3 years of experience in a logistics/operations role.

Excellent logistical and organizational skills.

Ability to work respectfully with people of different cultures, viewpoints, and religions; use great discretion in sharing personal positions.

Professionalism and attention to detail.

Flexibility, good humor, and excellent oral and written communication skills.

Competency with Microsoft Office (Excel required); experience with Salesforce and Concur preferred.

Frequent travel (≈40% of time).

Legal authorization to work in the United States.
