The Opportunity
UVA Executive Search Group (ESG) is an internal search firm at the University of Virginia with demonstrated excellence in recruiting and retaining exceptional talent. In the last decade, ESG has recruited over 300+ leaders to UVA, including several leaders that make up the University’s current executive leadership team and academic deans. ESG is more than a search firm and participates in the life of the University and many activities supporting UVA. ESG partners with University leaders on important searches across UVA with a focus on attracting top talent and providing an excellent candidate experience.
The Role
UVA’s Executive Search Group is seeking a Recruiting Associate (RA) to join its team. Reporting to a Managing Director, the RA joins a team of fellow RAs working in partnership with ESG’s search consultants to provide high-level administrative support for UVA’s leadership searches. The role involves project management excellence including coordinating meetings and preparing all related materials, coordinating multi‑candidate interviews (virtual and in‑person), collecting feedback via online surveys, creating reports, correspondence with clients and candidates, and preparing briefings for executive leaders. In addition, the RA helps with research to build lists of highly qualified potential candidates.
The RA is also externally facing and helps to design, coordinate, and execute comprehensive multi‑day/multi‑candidate visits for finalists, involving stakeholders across UVA and the community – creating the environment and experience that ultimately results in a successful search and hire. The RA provides high‑touch service to candidates and clients by coordinating interview travel and accommodation arrangements, and may coordinate follow‑up visits by setting up real estate, community, and local area school tours, making restaurant reservations and catering requests, coordinating sporting and special events, etc. They play a critical role in ensuring that visits are meaningful to each candidate.
Qualifications
Proven success working in an executive support, administrative, and/or service‑oriented role
Demonstrated ability providing high‑level support to internal and external stakeholders in a complex organization – UVA’s stakeholders consist of executives and their administrative support staff, faculty, staff, students, boards, community members, and candidates
Enjoys providing exceptional service
Highest level of discretion, confidentiality, and judgment
Strong interpersonal and relationship‑building skills
Excellent written and verbal communication skills, including proofreading
Ability to manage multiple searches simultaneously; excellent time and project management skills
Ability to solve problems and change direction as needed
High attention to detail and focus on quality
Team player, thoughtful, good sense of humor
Flexible and works well under pressure
Proactive and process improvement oriented
Quick study – actively listens, asks good questions, keen ability to connect dots
Ability to manage up, effectively communicating search needs to consultants and executing top priority tasks
Comfort with Microsoft suite of products and Zoom videoconferencing
Minimum Requirements
Education: High school diploma
Experience: Four years of experience in an exempt‑level (professional) HR position, Bachelor’s degree with two years of exempt‑level experience, or a Master’s degree with one year of exempt‑level experience. A combination of education and experience equivalent to at least four years of progressively responsible administrative, customer service, human resources, or related experience.

Physical Demands
This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs. A valid driver’s license is required for this position.
Salary will be commensurate with education and experience.

This is a restricted position, which is dependent on funding and is contingent upon funding availability.
This is a hybrid position based in Charlottesville, Virginia. This role may occasionally require travel and limited evening or weekend work to support recruitment activities, and related events.
