Project Description: The Project Coordinator supports the PTB Readiness Lead in coordinating and tracking day-to-day activities across chartered PTB projects and taskers. This role focuses on maintaining project schedules and trackers, consolidating stakeholder inputs, ensuring deliverable quality, and supporting clear communication across the PTB Branch. The Project Coordinator also provides administrative support for basic logistics and procurement tasks, such as material tracking, coordinating vendor information, and preparing purchase-related documentation. This is a non-supervisory role with no travel required.
Key Responsibilities
Maintain project schedules, trackers, milestones, and readiness tools.
Track taskers, deliverables, deadlines, risks, and action items.
Prepare meeting agendas, take minutes, and track follow-up actions.
Consolidate inputs from stakeholders for weekly and monthly reporting.
Assist with drafting project documentation, correspondence, and briefing materials.
Ensure deliverables are complete, accurate, and properly formatted before Readiness Lead review.
Maintain organized file structures and version control within SharePoint.
Coordinate routine information requests across PTB sections.
Support readiness and deployment preparation tools (checklists, equipment lists, status trackers).
Monitor project progress and flag issues or missing information to the Readiness Lead.
Required Qualifications
2+ years of experience supporting projects, programs, or operations.
Must be able to obtain and maintain a SECRET clearance.
Strong organizational skills with the ability to manage multiple concurrent tasks.
Proficiency with Microsoft Office Suite and SharePoint.
Excellent written and verbal communication skills.
Experience creating agendas, notes, trackers, and structured documentation.
High attention to detail and accuracy.
Ability to work independently while taking direction from the Readiness Lead.
Experience supporting logistics and procurement activities (e.g., material tracking, vendor coordination, purchase requests, inventory updates).
Preferred Qualifications
Experience supporting technical, security, or federal programs.
Familiarity with project management practices, tools, or methodology.
Experience in a fast-paced environment with cross-functional teams.
The likely salary range for this position is $76,500 – $103,500. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
