Sports Management Coordinator - Parks & Recreation Coordinator SPORTS MANAGEMENT COORDINATOR

duties and responsibilities include, but are not limited to:

Administrative

Lead a dynamic and diverse team of professionals responsible for athletic programs and events, facility/field management, sports marketing, community partnerships, and athletic association liaison

Coordinate the personnel management and supervision of all volunteers, interns, contractual, part‑time and full‑time team members to include hiring, training, mandatory certifications, staff development, performance evaluations and discipline

Understand and embrace the intricacies and political nature of the work of the Sports Management Office

Assist Division Administrator with the Programming and Operations Division duties and operations as needed, including emergency operations and management

Effectively serve as a member of the department management team

The primary areas of focus are the Princess Anne Athletic Complex, City View Park and Athletic Complex as well as additional athletic sites, athletic leagues, sports marketing, sponsorships, agreements and contract management

Develop, implement and coordinate short‑ and long‑range strategic goals and objectives that align with Division, Department and City goals, including participation on a City Strategic Goal Team

Ensure goals, objectives and expectations are clearly defined and communicated

Operate and program to best serve the needs of our internal and external customers

Develop and maintain partnerships and working relationships with other work units, departments and members/businesses in the private sector

Collaborate with various stakeholders such as schools, civic leagues, recreation associations, Convention & Visitors Bureau (CVB), etc., to foster partnerships, support and volunteer efforts

Coordinate administration of department, division and unit policies and procedures to ensure compliance and recommend revisions when appropriate

Provide leadership and direction in addressing staff and citizen concerns, ensuring equitable and fair resolutions in a timely manner

Make well‑informed decisions regarding complex matters using multiple sources of information

Innovate and assess trends to keep program offerings fresh and relevant

Determine needs and concerns of the community at large, including internal and external stakeholders through surveys and focus groups

Track and respond to proposed federal and state mandates that may affect sports and/or facilities

Prepare and present reports and other presentation materials

Coordinate and facilitate programming and services for diverse populations

Assist and/or lead teams to achieve Departmental National Accreditation (currently through the National Recreation and Park Association)

Work collaboratively to expand volunteer and intern base

Budget

Develop, monitor and be accountable for the annual operating budget, projecting revenues and expenditures

Develop and present budget proposals and recommendations to leadership

Provide input on the Capital Improvement Projects (CIP) process for the Division

Use technology to develop and analyze reports and make recommendations

Develop, evaluate and execute decisions based on pricing tools, cost recovery, KPIs, alternate provider information, etc.

Contract & Agreement Oversight

Coordinate the preparation and administration of written contracts and agreements between the unit/division/department and outside private, public or non‑profit organizations, acting as liaison to ensure compliance with contractual specifications such as referees, sports trainers, concessions (food trucks and vending), janitorial and security needs, facility agreements and field allocations

Athletic Programs

Coordinate and manage comprehensive developmental, age‑appropriate, safe and fun recreational athletic and sports programs that create equal opportunities for all Virginia Beach residents and guests

Conduct public awareness initiatives and develop cooperative media relations to promote community‑wide access and knowledge

Coordinate publicity for all unit programs, facilities and special projects and direct dissemination of information to the public

Work collaboratively with internal/external partners to maintain a relevant website showcasing programs and services offered

Utilize community outreach to develop opportunities for sponsorships

Assess current service programs to identify gaps and duplications

Advocate for youth development

Facility Management and Sports Marketing

Manage Princess Anne Athletic Complex, which includes eight lighted tournament‑quality softball fields, eight multi‑purpose playing fields, and a variety of courts and fields throughout the city

Manage City View Park and Athletic Complex, which includes lighted tournament‑quality softball fields and other amenities such as shelters, playgrounds and trails

Oversee coordination of use agreements with schools for athletic leagues and tournaments

Oversee coordination of field usage, rentals and marketing with Convention & Visitors Bureau

Minimums

Requires any combination of education (above high school level) and/or experience equivalent to ten (10) years in recreation administration, parks administration, business administration or public administration

Must have, or obtain, a current and valid Virginia or North Carolina driver’s license in accordance with state DMV eligibility requirements

Special Requirements

Must be available to work evenings, weekends, holidays, and overtime when required to meet operational needs

This is an Alpha I position that may require reporting to work during periods of emergency or inclement weather, regardless of the City’s operational status

The selected individual will be housed at a primary site but may be scheduled between other park sites/facilities

All employees may be expected to work hours in excess of their normally scheduled hours or be relocated to another location or job assignment in response to short‑term department needs and/or City‑wide emergencies, including weekends, evenings and holidays

Some assignments may require overtime or split shifts to cover operational needs

Requires a current and valid Virginia or North Carolina driver’s license in accordance with state DMV eligibility requirements

As a condition of employment, all employees must attend P&R Connection (Department Orientation). If selected, a training date will be provided at the time of hire. Training is held from 8:30 am–5:00 pm, every other Friday, at the Parks & Recreation Administration Building. When an exemption is permissible, a hybrid version of the training is available, but will require training attendance on a weekend
