Executive Assistant to Senior Leadership
Location: Chicago, IL
A leading and growing financial services firm located in the vibrant heart of downtown Chicago is seeking a polished, resourceful, and proactive Executive Assistant to Senior Leadership to join its fast-growing team. The role is in‑person and offers high‑level support to senior leadership in a dynamic, fast‑paced, and collaborative environment.
Base pay range: $75,000–$95,000 per year.
Key Responsibilities
Expertly manage complex executive calendars, coordinating meetings, conference calls, and events with precision and professionalism.
Arrange seamless domestic and international travel, including flights, accommodations, transportation, and detailed itineraries.
Act as a trusted liaison between executives, clients, and internal teams to ensure effective communication and timely follow‑up.
Prepare, review, and refine correspondence, reports, and presentations with meticulous attention to detail.
Oversee meeting and event logistics—book conference rooms, manage catering orders, and ensure smooth setup and breakdown.
Support daily office operations by tracking inventory, ordering supplies, and managing vendor relationships.
Greet and assist visitors, creating a warm and professional first impression while handling special projects and occasional errands.
Qualifications
Bachelor’s degree preferred; equivalent relevant experience will be considered.
Minimum of 3‑5 years’ experience providing executive‑level administrative support in a professional environment.
Previous experience in private equity, finance, consulting, or related fields strongly preferred.
Exceptional written and verbal communication skills with the ability to draft professional correspondence.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and strong overall tech aptitude.
Highly organized, detail‑oriented, and able to manage multiple priorities while maintaining confidentiality, discretion, and professionalism.
