JOB SUMMARY Works under minimal direction to provide departmental coordination of all aspects of new and existing faculty academic appointments in large and complex departments, including appointments, reappointments, evaluations, promotion and tenure process, post‑tenure process, and other changes of a faculty member's appointment for a large academic department. Works closely with the Southwestern Medical School (SMS) Office of the Dean.

EXPERIENCE AND EDUCATION Required

Education

High School Diploma or equivalent.

Experience

5 years of progressively responsible administrative experience in medical, scientific, or health care environment. An equivalent combination of education and directly related experience may be substituted in lieu of the stated requirements.

Strong attention to detail.

Previous experience supporting faculty members.

Strong writing skills.

Previous SharePoint experience and strong Excel experience.

Preferred

Experience coordinating faculty promotion and tenure processes.

Knowledge of credentialing/re‑credentialing procedures for faculty in a medical setting.

Experience with faculty website creation and updates following established templates and guidelines.

Understanding of malpractice/risk management compliance for faculty, fellows, and residents.

Experience coordinating departmental faculty conferences and retreats.

Experience with faculty volunteer programs.

Strong report and spreadsheet creation skills.

JOB DUTIES

Coordinates departmental faculty appointment process in large and complex departments.

Works with Faculty Recruiting to process job requests, postings, and advertising.

Works closely with the Dean's Office Faculty Affairs for all faculty transactions.

Works with International Office regarding Visas and Permanent Residency applications.

Works closely with the Department Chair to prepare the Letter of Intent based on guidelines from the Office of the SMS Dean.

Coordinates faculty onboarding process.

Assists new faculty with relocation efforts.

Coordinates departmental faculty promotion and tenure process as well as the post‑tenure review process for new and existing faculty. Maintains records of faculty members.

Coordinates departmental annual faculty evaluation process.

Coordinates departmental annual faculty reappointment letter process.

May coordinate or supervise all aspects of credentialing/re‑credentialing for new and existing faculty.

Coordinates creation and update of faculty websites following established templates and guidelines.

May gather information to ensure compliance of malpractice/risk management for faculty, fellows, and residents.

May coordinate department faculty conferences and retreats.

May coordinate departmental volunteer faculty.

Creates and maintains various reports and spreadsheets for management.

May provide working supervision for staff of lower rank.

Performs other duties as assigned.
