About the Role We are seeking an experienced
Executive Assistant
to provide high-level administrative and back-up support to multiple teams within the Menlo Park office. This position requires professionalism, exceptional organizational skills, and the ability to handle confidential information with discretion. You will also rotate to cover afternoon Reception duties and may support junior executives as needed.
This role is ideal for someone who is polished, proactive, and thrives in a fast-paced, high-performance environment.
Key Responsibilities Communication & Information Management
Review and prioritize incoming email and mail; summarize key points and draft replies on behalf of executives.
Compose, proofread, edit, and finalize correspondence, documents, and communications.
Maintain a high level of discretion when handling confidential information.
Planning & Coordination
Coordinate domestic and international travel, itineraries, agendas, and logistics.
Prepare accurate and timely expense reports per company policy.
Manage complex and fluid calendars; anticipate scheduling conflicts and adjust proactively.
Schedule and coordinate meetings, events, and conference logistics (rooms, equipment, hospitality).
Liaison & Team Support
Serve as a point of contact for investors, portfolio companies, guests, and internal teams.
Uphold professionalism and confidentiality at all times.
Support fellow Assistants and take on additional tasks as needed.
Participate in rotational afternoon Reception desk coverage.
Required Qualifications
4+ years
of Executive Assistant experience supporting senior-level executives.
Exceptional organizational skills and ability to manage high volumes of tasks.
Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
Strong written communication, research, and proofreading skills.
Experience managing complex calendars in a fast-paced environment.
Proven ability to multitask, prioritize, and maintain accuracy.
Demonstrated professionalism, integrity, and discretion.
Preferred Qualifications
Experience in the
financial industry , investment firms, private equity, or asset management.
Bachelor's degree preferred.
Experience coordinating global travel and executive-level events.
