Bilingual Patient Intake Coordinator Lead (Spanish): welcome families, drive the process, lead the start of care.
About Us
United Care ABA is a fast-growing startup delivering ABA therapy services to children and families. As we expand, we are building a strong operations backbone—and this role is a critical part of that foundation.
The Bilingual Patient Intake Coordinator Lead is a key player in ensuring that families enter care quickly, smoothly, and with the support they need from day one.
If you’re organized, confident, bilingual in Spanish, and ready to lead the intake process—not just follow it—this is the right fit.
The Role As the Intake Coordinator Lead, you oversee the full intake pipeline from first family contact through case‑ready status. You guide families, coordinate internal teams, prevent delays, and keep the entire onboarding process moving. You’re the point person who ensures every case meets compliance, documentation, and insurance requirements before starting services.
This role blends leadership, case management, communication, and problem‑solving. You’re not just completing tasks—you’re owning the flow, identifying gaps, and setting the standard for intake quality.
What You’ll Do
Serve as the lead point of contact for new families entering care
Oversee intake cases from referral through authorization and case‑ready status
Support Spanish‑ and English‑speaking families with clear, compassionate guidance
Track all documentation, follow up on missing items, and ensure compliance is met
Verify insurance eligibility and coordinate the full process for BCBA assessments
Submit and track assessment authorizations with insurers
Monitor intake timelines and elevate cases that need clinical or operational intervention
Identify delays, remove barriers, and keep the pipeline moving
Coordinate with internal departments to ensure readiness for service start
Recommend process improvements as the company scales, and help build future intake workflows
What We’re Looking For
Spanish bilingual (required)
Experience in intake management, care coordination, or healthcare administration
ABA experience is helpful but not required
Strong leadership instincts and comfort taking ownership of a process
Excellent communicator (phone, text, email) who builds trust with families
Highly organized, able to manage many cases without missing details
Calm, steady, and solutions‑focused during fast‑paced weeks
Interested in growing with a scaling startup and expanding into greater responsibility
Why United Care ABA
Competitive pay
Leadership‑level role with room for upward growth
Newly renovated Brooklyn office
A chance to build systems, influence operations, and have real impact
Make a meaningful difference for families accessing ABA care
