Associate for Baptism, Marriage, and Sacramental Records

Reports to Director of Ministry.
Overall Position and Purpose:
Old St. Patrick’s Church is a vibrant Catholic community in Chicago’s West Loop, committed to responding to God’s call through radical inclusivity, exquisite worship, and transformative kinship. In a typical year, more than 120 couples are married at Old St. Patrick’s and approximately 300 infants are baptized. As a key member of the Old St. Patrick’s Staff Team, the Associate for Baptism, Marriage and Sacramental Records will assist families in scheduling infant baptisms; work closely with the Director of Marriage Ministry to accompany couples through the process of celebrating marriage at Old St. Patrick’s Church; and respond to requests for sacramental records.
The Associate will maintain up-to-date sacramental files, support couples and families during exciting and potentially stressful seasons in their lives, and recruit and oversee member-volunteers.
The Associate should have strong organizational and computer skills and a passion for hospitality.
The Associate should act from an understanding of how positive, hospitable baptism and wedding ministry contributes to Old St. Patrick’s broader mission: to encounter the loving God in the context of a welcoming community.
Responsibilities:
Baptism Ministry
Schedule twice-monthly dates for Sunday group baptism ceremonies using Church Management System software
Communicate with families and clergy to schedule group and private baptisms
Communicate with families to schedule baptism preparation classes and provide certificates of completion
Follow up with families to ensure required documents are received
Prepare baptismal certificates
Marriage Ministry
Support the Director of Marriage Ministry in accompanying couples through all aspects of planning wedding liturgies at Old St. Patrick’s Church, including:
Communicating regularly with couples regarding available dates, requirements for marriage in the Catholic Church, and requirements for Old St. Patrick’s wedding liturgies.
Following up with couples to ensure all documents are received and processed in a timely fashion.
Reserving wedding and rehearsal dates in Church Management System software.
Communicating with clergy presiders and the Archdiocese of Chicago Chancery.
Maintaining clear, accessible, and up-to-date records of required documentation.
Overseeing a team of wedding volunteers dedicated to rehearsal and wedding day hospitality and logistics.
Sacramental Records
Receive and respond to requests for sacramental records of persons baptized at Old St. Patrick’s church
Maintain accurate sacramental and household records in sacramental record books and Church Management Software
Identify and implement ways to streamline and modernize sacramental records in line with current technology and Catholic canonical requirements
Recruit and oversee member-volunteers who assist in recording sacramental records
Oversee care for sacramental record books, including re-binding when needed.
Old St. Patrick’s Team Support
Be present on evenings and weekends as required to support key moments in the Old St. Patrick’s community such as Sunday and holiday liturgies, special member events, and church programming.
Maintain regular presence at Sunday masses and support Sunday hospitality ministries.
Other duties as assigned.
Qualifications:
Practicing Roman Catholic with knowledge of and appreciation for the Catholic faith and tradition, excitement for weddings and baptisms, and desire to be active in the Old St. Patrick’s community.
Attention to detail and ability to maintain organized and accessible files in compliance with Catholic canonical requirements.
Extensive experience and skill with standard computer software, including Google and Microsoft office suites; familiarity with or ability to learn Pushpay Church Management Software; and comfort using technology creatively to improve communication and workflow.
Excellent interpersonal skills and the ability to work collaboratively with Old St. Patrick’s team members; accompany new parents and engaged couples with a welcoming, non-anxious presence; communicate canonical requirements with clarity and pastoral sensitivity; and follow up with couples and families to ensure marriage and baptism files are completed in a timely manner.
Knowledge of or commitment to learn Catholic canonical requirements related to marriage and baptism.
