SUMMARY: Under the general supervision of the Nurse Manager, the Unit Secretary performs a variety of clerical and administrative support duties. Coordinates and documents the flow of patient activity and information from admission into the unit, through discharge, or transfer from the unit. Responsibilities
Communicates clearly, concisely, and expeditiously with unit, other hospital staff, physicians, patients, and visitors.
Greets patients and visitors in a professional, courteous, and helpful manner.
Recognizes consumer dissatisfaction and intervenes to correct it or refers to the appropriate person.
Identifies and reports unauthorized personnel.
Answers the telephone in a timely and courteous manner; records, transmits, and follows up on messages.
Answers patients’ call buttons and pages appropriate staff, following up on unanswered pages.
Enters and edits all patient information into the computer system, including height, weight, isolation status, patient type, activity, and charge entries.
Follows Physician Order Management policies and procedures and all clinical informatics downtime procedures.
Obtains missing patient data from other units or outside facilities when needed; maintains the integrity of the medical record.
Completes the Medical Record Review Checklist daily and upon unit staff meetings.
Orders and maintains appropriate forms, dietary supplies, educational materials, and office supplies for the unit; follows up on purchase requisition status.
Ensures dietary orders are current every AM between 3‑4 a.m.
Provides management of automatically prepared reports (e.g., GENESIS, Glumeter, rounds reports).
Works with nursing staff and case managers to enter discharge disposition and destinations, fax necessary paperwork to external agencies, and prepare discharge documentation for patients going to rehabilitation centers or nursing homes.
Assists the nurse manager in monitoring staff educational records and compliance with mandatory tests, training, certifications, and annual health screenings (e.g., PPD, fit testing).
Completes weekly staff projections and unit secretary scheduling to ensure even distribution of resources.
Participates in unit staff meetings, records minutes, updates posted communications, and assists in maintaining policy manuals.
Provides support for achieving hospital and unit quality indicators; distributes and collects quality audit data and complies with indicator collection processes.
Conducts monthly Environment of Care rounds, reports findings, and follows through with work orders, phone calls, or faxes to appropriate departments for issue resolution.
Appropriately enters patient charges to generate revenue, reviews and reconciles charges daily, and reports variances to the manager.
Performs other general filing, copying, faxing, and clerical duties as requested.
Minimum Qualifications
High school diploma or equivalent.
Proficient computer skills to enter and maintain patient data and print required reports.
Knowledge of medical terminology preferred.
Able to organize, prioritize, and perform multiple tasks expeditiously.
Excellent verbal and written English communication skills.
Six (6) months’ clerical experience in a health care environment strongly preferred.
Work Environment & Physical Requirements
The role involves sitting, standing, and walking intermittently throughout the day in a patient care environment; may be required to lift up to 20 pounds.
Compensation
Pay Range: $17.69 – $27.90 per hour.

Work Schedule
7 a.m. – 3:30 p.m., alternating 4‑shift and 5‑shift weeks, every other weekend and holiday.
