Executive Assistant
Location: New York, NY, USA (Hybrid) – Remote/in‑person hybrid with travel for events. Travel required for New York, New Jersey, Connecticut area (approx. 10 times a year). Working hours: 8 hours per day (online from 8:30 AM ET). Salary range: $90,000‑$110,000 depending on experience. Reporting to: Gabrielle Bernstein + Jessica Gibson, Chief Brand Officer. Direct reports: None. Visa sponsorship: We’re unable to sponsor visas; only applicants with the right to live & work in the U.S. are eligible.
KEY RESPONSIBILITIES
- Executive Support & Calendar Management
- Strategic Scheduling: Manage and strategically plan Gabrielle’s complex calendar.
- Meeting & Event Briefing: Ensure Gabrielle is fully briefed for all meetings, partnerships, and events.
- Task Management: Manage Gabrielle’s Asana, tasking follow‑ups, tracking deadlines, and communicating with stakeholders.
- Travel Coordination: Coordinate all domestic and international travel arrangements.
- Personal Scheduling: Provide personal support as needed.
- Coordinating with stylist, make‑up artists, etc.
- Communications & Partnership Coordination
- Act as the primary gatekeeper for all incoming inquiries for interviews, partnerships, and events.
- Liaison & Point Person for key external partners, including agents and publishers.
- Partnership Fulfillment: Manage information flow once a partnership is agreed upon.
- Cross‑Functional Coordination with marketing team for partnership and event details.
- Contact Database Management: Keep the Notion database of brands, media, and influencer contacts up‑to‑date.
- Special Projects: Support special projects such as influencer gifting campaigns.
- Content Asset Management: Coordinate with Social Media & Marketing Project Manager to archive third‑party content.
- Event/Podcast & Logistical Support
- On‑Site Support: Accompany Gabrielle to press engagements, photoshoots, podcast recordings, and events.
- Content Capture: Capture behind‑the‑scenes (BTS) content for marketing.
- Shoot Coordination: Provide logistical support for photoshoots, video shoots, and podcast recordings.
- Guest/Speaker Coordination and white‑glove experience for event/podcast guests.
- Event Planning: Support event production, vendor liaison, and P&L spreadsheets.
- Team Offsites: Organize logistics for team offsite events (travel, accommodation, meals).

EXPERIENCE & QUALIFICATIONS
- Minimum 5+ years experience as an Executive Assistant.
- Proven experience supporting a founder, public figure, or high‑profile individual.
- Strong understanding of media, social media, and partnership landscape.
- Experience in a small business or startup.
- Fully remote experience.
- Exceptional written and verbal communication skills.
- Expert‑level proficiency with Asana, Notion, Slack, Google Workspace, Excel, etc.
- Desirable: Experience in the spiritual or wellness space.
- Desirable: Event planning and production experience.
