This role is eligible for our hybrid work model: two days in‑office.

Role Overview The Administrative Business Partner supports Compliance & Ethics and Privacy & Corp Development teams. The role delivers high‑quality, proactive support to senior leaders across the organization, ensuring operational efficiency through calendar coordination, travel booking, expense management, vendor onboarding, and event planning. It also covers office operations, supports visiting executives, and provides coverage for teammates during absences. Reporting to a Lead Business Partner, this position contributes to a collaborative, high‑performing team that shares best practices and delivers consistent support.

Key Responsibilities

Business Partnership and Team Enablement:

Facilitate seamless information flow by communicating updates to leaders’ teams, organizing meetings (agendas, minutes, action items), coordinating team events/off‑sites, facilitating signature processes, supporting department operations such as project/meeting trackers, and assisting with preparation and formatting of deliverables.

Calendar Management:

Proactively manage leaders’ complex calendars, ensuring agendas and pre‑reads, making informed scheduling decisions, managing key team/department meetings.

Travel Booking, Travel Itinerary & Team Events:

Book and manage end‑to‑end travel arrangements, itineraries and logistics for leaders; support planning and execution of internal events, summits and meetings.

Expense Submission & Management:

Prepare and submit accurate expense claims in Concur on behalf of leaders and review direct reports’ claims to provide guidance per company policy.

Invoice Processing & Vendor Management:

Manage vendor onboarding, ongoing engagement, off‑boarding and process vendor invoices timely and efficiently.

Time Off Approval Delegation:

Delegate leaders’ own time‑off requests and approve or decline time‑off requests for leaders’ direct reports.

Qualifications

A minimum of 2‑4 years of relevant experience in administration, business support or executive assistance.

Previous experience supporting at least two senior executives simultaneously.

Demonstrated experience in event coordination and team meeting planning.

Excellent stakeholder management, communication and organizational skills.

Ability to thrive in a dynamic, fast‑paced environment with strong problem‑solving skills and adaptability.

High attention to detail, strong collaboration and teamwork mindset.

Proficiency in common administrative and productivity tools, including Google Workspace, Concur, DocuSign, etc.

Required to work onsite in Norwalk 2 days per week, with flexibility to travel to the New York office as needed.

Available to offer support outside normal business hours and travel internationally if required.

Benefits We offer a competitive base salary (base salary range for Connecticut and the NYC‑metro area is $81,000‑$99,000), eligibility for an annual bonus, and a comprehensive benefits program for you and your family.
